The Administrative Assistant/Bookkeeper will be responsible for a range of administrative and
bookkeeping duties. The role ensures the accuracy of financial and operational records and
supports various tasks to enhance team productivity and operational efficiency.
Key Responsibilities
1. Financial and Administrative Support:
o Assist with billing processes and reconciliations
o Internal audit of daily processes and reporting
o Distribute, manage, and write checks for vendor and operational needs
2. Operational Oversight:
o Maintain repository of vendor agreements
o Audit users in internal systems
3. Event Planning and Employee Engagement:
o Assist in planning quarterly employee appreciation events, including coordinating logistics and sending invitations.
4. Mail and Payroll Coordination:
o Coordinate mail center pickups for invoices, checks, and other correspondence.
o Make payroll edits as needed, ensuring accuracy and timely processing.
Minimum Requirements:
* Prior experience in bookkeeping or administrative roles
* Proficiency in accounting software and office tools (e.g., Microsoft Office Suite, QuickBooks, or similar)
* Strong organizational skills with keen attention to detail
* Ability to handle sensitive information with discretion
* Strong communication and interpersonal skills
* Proactive and self-motivated, with the ability to manage multiple tasks efficiently.
Location:
Must be based in the USVI, with a preference for St. John. Open to a St. Thomas/St. John split if necessary.
Work Schedule:
Approximately 20-25 hours per week, Monday through Friday.
