Contract Administrator - 12 month fixed term contract Glasgow The role of the Contracts Administrator is to support the achievement of Thales’ financial/strategic objectives by updating the ERP system with accurate and timely data to allow us to report accurate order intake, report out of the system and invoice our customers accurately. Including: Principal Relationships: Service Delivery Controllers Project Finance Project Managers Contracts Managers Key Responsibilities and Tasks: Assist businesses with completing various e-forms e.g. contract data entry Set up new and replacement contracts and projects, liaising with the Project Controller to ensure tasks are added. Create contract amendments in Oracle. Understand and monitor choice of hedge deals in foreign currency projects. Create and maintain invoice events in Oracle as early as possible in the contract, Support and promote the use of Robotic Process Automation within the role. Accurate and timely generation of invoices. This will include invoicing on customer portals such as Exostar. Accurate and timely generate of credit notes, as required; following the Thales process Support resolution of queries Use Oracle reports to facilitate maintenance of the ERP system to ensure data is as up to date and accurate as possible With support, understand and enforce the UK process for use and management of Customer Portals Any other duties as required Skills and Experience : An excellent team player Well-developed communication skills The individual should be able to communicate well at most levels Ability to plan logically and pro-actively manage the role Happy to develop and change processes to reflect business development Ability to organise own workload and be able to work under pressure Microsoft Office products (Outlook, Word, Excel) Oracle Good numeracy skills, including the ability to pull together data from various sources and to prepare and present on Excel spread-sheets Good team working skills essential Ability to work across functions Be able to approach and work with colleagues to achieve a common objective Display passion, drive and tenacity in achieving work-related goals under difficult circumstances Take responsibility for work undertaken and follow through to completion Promote and be a role model for equity, diversity and inclusivity Keen to identify and promote improvements and change Relevant experience in office based, transactional work with a strong element of investigation and support What We Can Offer We’re committed to giving you opportunities to be your best.
