The role
To provide administrative and practical support to the members of the Zoo 55 Leadership Team to enable them to focus on business impact and team leadership. The role requires a highly organised, reliable, proactive, assertive, and professional PA with excellent communication skills, an ability to build rewarding relationships, and maintain both enthusiasm and discretion with partners, be they internal or external.
Main responsibilities
* Efficiently and pro-actively manage the often challenging diary commitments for Zoo 55 Leadership Team members, many of whom travel internationally and/or work across multiple time zones on a regular basis.
* Develop effective relationships to manage travel, itineraries, and expense claim submissions, as well as raise purchase orders and track invoices through to payment.
* Support each Zoo 55’s leadership team management agenda by arranging team meetings/away days, attendance of guest speakers, preparing agendas, emails, and communications on key topics, set up new starters, and liaise with HR to organise their induction into the business.
* Manage availability by screening telephone calls, enquiries, and correspondence, and attendance at any internal or external events.
* Take and type meeting minutes, undertake research, and prepare documents and presentations (using Google and MS Office suite applications).
* Build and maintain reliable and trusting working relationships within ITV's network of PAs.
* Assist on logistics for group events/screenings/press events etc.
* Manage filing via Google Drive and hard copy, keeping and maintaining a proficient tidy and organised system.
* Deal appropriately with a range of internal/external correspondence/enquiries by mail, e-mail, and telephone.
* Arrange meeting rooms, conference calls, Google Hangout facilitation, refreshments, and presentation materials as needed.
* Maintain absolute confidentiality of all issues discussed.
* Build and maintain reliable and trusting working relationships with the Zoo 55 teams both in the UK and internationally.
* Undertake any other reasonable task, project, or initiative as directed.
Skills you’ll need (minimum criteria)
* Previous substantial experience in the role of a PA or Team Assistant at a senior level.
* Experience of managing multiple busy diaries.
* Media industry experience would be an advantage but not essential.
* The ability to adapt and be flexible in accommodating short-term changing needs.
* The ability to successfully manage multiple expectations in a fast-paced environment while remaining calm.
* Efficient PC skills with an excellent knowledge of Microsoft Word, PowerPoint, Excel, and the full Google suite.
* The ability to work independently and proactively, using own initiative to anticipate and balance workload.
* Demonstrate excellent written and verbal communication skills, with the confidence and tact to liaise with a wide cross-section of senior level and external contacts, building good interpersonal relationships with main client groups and being comfortable with managing confidential information in a discreet manner.
