We are looking for an enthusiastic and motivated individual to support the Wrexham CAMHS Reception. This is a full time, permanent post which covers a range of administrative tasks to aid the continuity of an extremely busy service to our patients / carers and other professional colleagues. Previous reception and customer service experience is essential. You will also have knowledge of Microsoft packages including Outlook, Word and Excel. The ability to prioritise your work and be highly organised is paramount to this post, as is excellent interpersonal skills, which includes a friendly telephone manner, whilst providing a professional, sensitive manner and maintaining confidentiality at all times.
The ability to speak Welsh is essential for this post.
Main duties of the job
To provide reception cover as directed by the Administration Team Leader, including receiving and greeting visitors to the building in a courteous and professional manner and directing visitors as required.
Job responsibilities
1. To provide reception cover as directed by the Administration Team Leader, including receiving and greeting visitors to the building in a courteous and professional manner and directing visitors as required.
2. Updating and maintaining patient records using the patient administration system, including change of address, telephone numbers and any other personal details ensuring they are accurate for future reference and comply with Data Protection Act.
3. Liaising with Health Visitors and School Nurses to help deliver an effective and efficient service.
4. Receiving and responding to telephone enquiries from patients, families and other outside agencies and other Health Board staff in a professional, helpful and sensitive manner.
5. Arriving patients using the patient administration system and verifying that patient data is correct.
6. Undertake such miscellaneous clerical duties as become necessary e.g. photocopying, ordering stationery, faxing patient information etc.
7. Deal with correspondence: opening, sorting, date stamping and distributing mail.
8. Prioritising and dealing with all incoming mail appropriately.
9. Undertake the booking of follow up appointments where appropriate to ensure accurate recording of patients attendance.
10. Arranging meetings with professionals and relatives including booking of rooms and co-ordinating bookings on the electronic diary system.
11. Taking verbal prescription requests from young people/families in person or via telephone, together with all other admin team members, for presenting to consultant for preparation and prescribing.
12. Assisting in maintaining an up to date filing system and electronic databases.
13. Working in such a way as not to compromise the health and safety of yourself, any patient, visitor or member of staff within the Health Board.
14. Undergo any relevant training updates to the job role.
15. Assisting in the induction and training of new staff within the department.
16. Provide any other clerical duties appropriate to the post.
17. Deal with any complaints as they arise, discussing with clinical staff and prioritising solutions reporting the outcome to the Team Leader/Administration Manager.
18. Work in a flexible manner, which meets the staff needs and the service needs of the Department. This will be in accordance with the Health Board policy.
19. Observe personal duty of care when using equipment.
