Health & Safety Administrator

The Montefiore Hospital are looking to appoint a Health & Safety Administrator to join their established team. The successful applicant will support the Health and Safety Officer in coordinating and implementing the delivery of Health, Safety and Risk strategies at the facility.
Key Responsibilities:
1. All administration requirements for the maintenance of the Health & Safety Management System
2. Collation of H&S incidents from Datix reports including trends, near misses, etc.
3. Redirecting of general enquiries that are sent to the Health and Safety Officer, to members of the health and safety team as required
4. Taking and directing telephone calls to the appropriate H&S person, taking messages or dealing with the enquiry in a professional and efficient manner
5. Updating local health and safety arrangements/policies as required and distributing throughout the facility
6. Maintenance of Hospital Wide Action Plan spreadsheet, and follow up on outstanding actions as directed by the Health and Safety officer
7. Administration of the Health & Safety Flash alerts, responding to central health and safety team within the time frame of 7 days and collation of departmental responses
8. Health & Safety Training - records administrator; assist with course registration, issuing certificates as required
9. Advise the Health and Safety Officer if actions or risk assessments are not being managed in a timely manner
10. Accurately take and distribute minutes of all meetings
11. Assisting the Health and Safety Officer in conducting the quarterly hospital health and safety monitoring inspections
12. Assisting the Health and Safety Officer in ensuring that there are adequate inductions and health & safety training arrangements
13. Coordinating and arranging safety training and monitoring mandatory eLearning
14. Assisting with health and safety questions that arise from internal and external audits by external enforcement agencies
Who we are looking for:
1. Experience of working in a similar position in a healthcare setting
2. Health & Safety related qualification
3. Minimum 3 years of administration experience
4. Understanding of Health & Safety and Risk Legislation
5. Competent user of the MS Office suite of products in order to meet the requirements of the role
6. Ability to understand and manage effectively the impact of competing pressures and conflicting priorities
7. Must be proactive and able to self-motivate
8. Strong verbal and written communication skills
9. Good interpersonal and team working skills

Full Time 37.5 hrs pw
