Job Summary
We are seeking a highly organised and detail-oriented Administrative Assistant to join our team and help support the office manager. The successful candidate will play a crucial role in supporting daily office operations and ensuring the smooth functioning of administrative tasks. This position requires strong organisational skills, proficiency in various software applications, and excellent communication abilities.
Responsibilities
1. Provide comprehensive administrative support to the team and office manager, including managing schedules and coordinating meetings.
2. Perform data entry tasks accurately and efficiently, ensuring all information is up to date.
3. Maintain organised filing systems for both physical and digital documents.
4. Handle incoming calls with professionalism, demonstrating excellent phone etiquette.
5. Assist with bookkeeping tasks using QuickBooks, including invoicing and expense tracking.
6. Prepare reports.
7. Support office management by ordering supplies and maintaining inventory levels.
8. Collaborate with team members on various projects, providing clerical assistance as needed.
Qualifications
1. Proven experience in an administrative or office support role is preferred.
2. Strong organisational skills with the ability to manage multiple tasks simultaneously.
3. Proficiency in computerised systems, particularly Microsoft Word and Excel.
4. Excellent data entry skills with a keen eye for detail.
5. Demonstrated clerical skills, including filing, typing, and document preparation.
6. Effective communication skills, both verbal and written, with a focus on professionalism.
7. Ability to work independently as well as part of a team in a fast-paced environment.
8. Ability to problem solve.
