Shipping Coordinator Job Type: Full-time, Hybrid Location: Aldermaston (Note: Office access may require driving due to limited public transport options) Salary: Circa £35,000 per annum We are seeking a proactive and experienced Shipping Coordinator to help support our client’s busy team and help manage all aspects of import and export logistics, ensuring efficient and compliant shipment processes. This role is ideal for someone with a keen eye for detail and a strong understanding of international trade regulations. The successful candidate will be a proactive team player with robust experience in handling both imports and exports from order entry through to clearance and delivery. Day-to-day of the role: Coordinate and manage import and export logistics, including scheduling, documentation, and customs compliance. Prepare and ensure accuracy of shipping documents like commercial invoices, packing lists, certificates of origin, and EUR1s. Arrange pre-shipment inspections and handle documentation with inspection bodies and third-party warehouses. Track shipments and provide updates to internal stakeholders and customers to ensure timely delivery. Maintain and update shipping records and databases for easy access and accuracy. Negotiate with freight forwarders to arrange transportation, ensuring competitive rates and on-time delivery. Issue pre-delivery alerts, clearance instructions, and initiate the warehouse inbound process. Check and approve essential shipping documents including bills of lading and air waybills. Stay updated on changes to international trade regulations and customs procedures to ensure compliance. Resolve shipping-related issues by coordinating with relevant parties and taking corrective actions. Address customer inquiries and complaints effectively. Required Skills & Qualifications: Proven experience in arranging air and sea freight movements through freight forwarders. Strong knowledge of shipping documentation and international trade regulations. Excellent organisational skills and the ability to handle multiple tasks. Strong communication and negotiation skills. Proficiency in using logistics software and databases. Ability to resolve issues swiftly and efficiently. Experience in customer service and handling complaints. Preferably from a commercial background, with a fundamental understanding of exports and a willingness to be trained on imports.
