To provide an efficient high-level administrative and project support service to the Associate Director of Central Operations and their teams. The postholder will be required to demonstrate excellent organizational and secretarial skills and have the ability to work independently, using discretion and judgement where appropriate and managing their own workload.
The post holder will maintain the clerical and electronic project library systems including project documentation database(s), collate reports/SITREPS and source information to assist the management team achieve its objectives.
The post holder will be based in the Operation Centre DPOW and act as the first point of contact for enquiries for service users and external stakeholders.
Responsibilities include:
1. Collating, inputting, monitoring and checking data to support ongoing projects and performance reporting within the service.
2. Processing requisitions and invoices.
3. Maintaining an accurate formal record of meeting minutes or action notes and following up actions agreed in a timely manner.
4. Ensuring attendees are provided with meeting papers in advance.
5. Maintaining the smooth running of the Operation Centre environment and work area.
6. Producing correspondence, reports and presentation material to a high standard as directed.
