We are seeking a Creative Project Coordinator to join our team, supporting the CEO and our Creative and Events teams to manage the broader creative and administrative needs of the company. This role is ideal for an individual with a great work ethic and ‘can do’ attitude, strong organisational skills, a passion for live music, and an ability to coordinate multiple projects within a fast-paced environment.
NB:
* This is a full time, permanent role based in our office in Soho 4 days a week with 1 day working from home (Friday).
* Working hours: Monday to Friday, 10am – 6pm (additional hours as required)
* There may be occasional travel required for events.
Key Responsibilities
* Work collaboratively with internal teams to monitor industry trends, identify roster gaps, and maintain a high standard of talent curation.
* Assist in managing the artist roster by tracking setlist updates, technical specifications, and styling requirements, ensuring consistency across all external-facing materials.
* Coordinate showcase performances, ensuring efficient scheduling and communication between teams.
* Liaise between the Private Events and Residency teams to collate and share relevant feedback, maintaining alignment across departments.
* Organise rehearsals and training sessions.
* Manage incoming musician applications, conducting initial assessments and progressing relevant profiles.
* Oversee the onboarding process for new musicians, ensuring compliance with company guidelines, performance standards, and brand expectations.
* Collaborate with internal teams to refresh and update artist content, including website biographies, imagery, and promotional materials.
* Support marketing and branding efforts by coordinating content creation for social media and promotional channels.
* Support on immersive projects, video content creation and video shoot logistics where required.
* Provide administrative assistance, including database management, contract coordination, and project tracking using Monday.com.
* Coordinate with team to ensure effective wardrobe management, as well as supporting the process of styling projects.
Key Attributes & Skills
* Proven experience in a creative or music-focused role.
* Strong organisational and project management skills, with the ability to handle multiple tasks efficiently.
* Excellent written and verbal communication skills, with the ability to liaise effectively across departments.
* Proficiency in project management software such as Monday.com (or similar).
* A proactive and detail-oriented approach, capable of problem-solving in a dynamic work environment.
* A keen interest in the music industry and an eye for talent.
