The main duties of this role are:
1. Audio typing using the Digital Dictation System
2. Photocopying and composition of letters
3. Sorting, prioritising, processing and distribution of incoming mail, using judgment and experience to decide which documents are to be passed directly to other areas for action and information
4. Ensuring accurate and up-to-date inputting of information onto all Trust patient systems (PAS, ORMIS, EPR, Digital Dictation)
5. General office management duties (photocopying, scanning, emailing documentation) as required
Additional responsibilities include:
1. Assisting other Clinical Secretaries with their workload
2. Promoting the dissemination of quality patient information
3. Providing non-clinical advice and information to patients/clients/relatives
4. Utilizing a full range of secretarial procedures and software programmes (PAS, Theatre, EPR, Digital Dictation) to improve service efficiency and effectiveness
5. Understanding medical terminology and assisting colleagues with transcription outputs
6. Exercising judgment when dealing with patient enquiries, analyzing and resolving problems at source
7. Assisting in new staff induction and identifying and supporting their training requirements
8. Facilitating a supportive learning environment for all members of the secretariat team to develop
9. Recognizing effective utilization of development resources and opportunities
10. Promoting continuous improvement by disseminating new knowledge to colleagues
11. Accepting responsibility for personal development
12. Supervising administration support and work experience students to maintain an effective office system
