Reporting to the Director of People Services Hub, with a matrixed relationship with the Head of People Systems and Director of Workforce Data. You will work with key PS Hub, Digital Services and OU colleagues to identify and deliver impactful opportunities for innovation and change with People Systems and Data.
Key Responsibilities
* Lead Continuous Improvement Project Activity: Take a lead role to scope, plan, and drive the conversion of these opportunities into continuous improvement projects aimed at enhancing People Systems functionality, maximising system driven efficiencies and optimising the People Data asset.
* Strategic Vision and Alignment: Co-ordinate, develop and drive the strategic roadmap for People Systems, ensuring alignment with the University's broader business objectives and our focus on enhancing our employee’s experience.
* Project Portfolio Management: Plan, prioritize and oversee the portfolio of People Systems and Data projects:
o Provide operational leadership across the entire project lifecycle, from initiation to completion, ensuring adherence to scope, timelines, and quality standards while maintaining cost controls.
o Collaborate with People Services leadership, Digital Services, and key stakeholders to gather requirements and ensure project outcomes align with business needs.
o Serve as the primary point of contact for stakeholders across People Services, Digital Services, and other departments, ensuring clear and consistent communication throughout the project lifecycle.
o Identify and mitigate project risks, addressing issues promptly to keep projects on track.
o Support the implementation of systems and data improvements through effective change management, ensuring alignment with business processes and objectives.
o Provide regular updates to all relevant parties/governance groups on project progress, challenges, and key decisions, offering insights and recommendations.
o Facilitate governance and decision-making processes for projects and initiatives.
o Identify required resourcing and funding costs associated with project delivery.
* Data and Analysis: Working with the Workforce Data and Analytics teams to undertake data analysis activities, generating actionable insights that support data-driven decision-making for future opportunities and efficiencies.
* Stakeholder Communication and Engagement: Work with relevant departmental leads to engage with key university stakeholders throughout the project(s) lifecycle.
* Compliance Assurance: Ensure all change related projects that impact HR systems and data management practices comply with relevant legal and regulatory requirements, including data protection laws.
* Risk Management: Collaborate with stakeholders to identify and manage potential risks related to HR Systems and data projects.
* Vendor and Partner Collaboration: Work closely with internal partners and external vendors on People system projects.
* Stay Current with Trends: Stay informed about emerging HR technology and process trends and best practices.
* Feedback Implementation: Implement ongoing stakeholder engagement mechanisms beyond the project lifecycle to ensure sustained improvements and ongoing evaluation.
Skills and Experience
* Expertise in HR Systems: In-depth knowledge of HR systems, especially SuccessFactors (Employee Central & Recruitment & Onboarding preferred).
* Project Management Excellence: Proven track record of successfully leading and delivering HR system implementations and related projects.
* Leadership and Stakeholder Management: Exceptional leadership skills with a demonstrated ability to inspire and guide individuals and teams towards common goals.
* Strategic Planning and Execution: Ability to develop and implement strategic plans that align with organizational objectives.
* Data Analytics and Decision-Making: Skilled in analysing complex business data to generate insights and inform decision-making processes.
* Visionary Thinking: Strong strategic thinking to anticipate future needs, align initiatives with organisational goals, and drive long-term success.
* Change Management Expertise: Proficient in supporting and leading change initiatives.
* Advanced Problem-Solving: Effective in identifying risks and issues early, developing mitigation strategies, and resolving challenges swiftly.
* Engagement with Stakeholders: Exceptional communication and engagement skills with the ability to influence and collaborate with stakeholders at all levels.
* Facilitation and Workshops: Skilled in facilitating workshops, driving engagement, and fostering productive discussions.
