To lead and manage a team of Personal Assistants (PAs) who provide support to the Chief Executive; Executive Directors and Directors of the Council
To manage the team resources to ensure full accountability for spend and to ensure effective, efficient management of the budget is maintained - including through the modernisation of existing ways of working - and to provide the Chief Operating Officer with high quality executive secretarial, administrative and personalised support.
PA Team Leader and PA to the Chief Operating Officer
We are looking for a PA (Personal Assistant) Team Leader to lead a team of PAs who provide high-quality executive secretarial, administrative and personal support to the Council’s senior leadership team and Cabinet.
This is a full-time role for 37 hours per week, Monday to Friday.
About the role
The successful candidate will lead, manage, develop and support PAs within the team in terms of training and development, motivation, resource planning, mentoring and coaching, so that the team is able to deliver a high level of performance and a high quality service to the Leadership Team.
They will manage the team resources to ensure full accountability for spend and to ensure effective, efficient management of the budget is maintained - including through the modernisation of existing ways of working.
They will also provide a full personal, professional and confidential support service for the Chief Operating Officer in respect of Council activities, so as to maximise their effective and efficient use of time.
In doing so, they will
- ensure effective and proactive management and planning of the Chief Operating Officer's calendar, diary commitments and schedule
- manage correspondence received by email; filing, flagging and/or responding as appropriate
- forward plan and co-ordinate paperwork/information requirements in relation to meetings and events involving the Chief Operating Officer - including attending and creating formal notes/minutes as required to provide an accurate and timely record of proceedings - and arrange, prioritise and monitor subsequent follow-up actions to ensure business is carried out as efficiently as possible.
This is a ‘hybrid’ role, with an expectation that the postholder will work from an office location (most frequently Ellesmere Port) at least three days per week, in line with the needs of Directors and the PA Team.
