Job Description Job Title: Production Coordinator/Manager Reports To: Managing Director Budget: £38k - £45k Responsible for: Supervisors and Technicians Overall Purpose of Job: The Production Coordinator/Manager will oversee production work, ensuring efficient staff utilisation, clear communication, and timely project execution. They will also manage staff and freelance personnel to meet or exceed client expectations within budget constraints. Main Duties & Responsibilities: Projects Assign project inquiries to supervisors and ensure prompt estimation. Follow up on client feedback in coordination with Sales for reporting. Send contracts to clients upon confirmation and coordinate with Accounts and Stores. Maintain project records using estimate software. Allocate technicians to projects in coordination with supervisors. Ensure effective communication between supervisors and technicians. Track project progress and address concerns. Collect feedback after project completion to improve future outcomes. Acknowledge and manage staff performance with appropriate feedback. Liaison with Accounts Relay project details to Accounts for invoicing and assist with billing information. Highlight potential payment concerns to clients before invoicing. Ensure timely processing of timesheets for payroll and other payments. Administration Disseminate production-related notes within the company. Manage “CrewShout” software and maintain relationships with freelance personnel. Oversee the freelance CV database and participate in interviews. Provide orientation and necessary documentation to new freelance hires. HR Handle leave requests, time-off management, and holiday scheduling. Coordinate staff training programs. Customer Care Maintain strong client relations by liaising with supervisors and clients. Share client feedback with Sales and Marketing for relationship management. Person Specification Education / Professional Qualifications Proficiency in Maths and English (essential) Degree-level education (desirable) Previous Experience Staff supervision and line management experience (essential) Project management experience (desirable) Knowledge of special effects production, basic bookkeeping, and CRM systems (desirable) Skills / Attributes Strong organisational and communication skills Excellent interpersonal abilities Proficiency with computers Positive attitude and problem-solving capability Ability to work collaboratively within a team
