About the role As our new Office and People Assistant, you will be responsible for ensuring smooth day-to-day operations of our office spaces in Manchester and central Bath (done remotely), supporting our Executive team with ad-hoc requests, and keeping our Abbott Lyon colleagues happy, engaged and equipped to deliver their best work. Reporting to the People Manager, the Office and People Assistant will be a key member of the Abbott Lyon team and gain exposure to numerous areas of the Company through your various HR duties. You're Excited About This Opportunity Because You Will… Support our colleagues from an HR perspective: Head up all things engagement at Abbott Lyon You will ensure our talented team have plenty of opportunities to connect and are recognised for their contributions, by owning tasks such as: Owning our employee engagement calendar - organising birthday and event celebrations for our key moments throughout the year Fostering remote team engagement e.g. pub quizzes and remote socials Leading our Social Committee and co-ordinating all in-person team events Supporting our Charity Committee with fundraising activities Supporting with Senior Leadership Team / Board in-person events (meeting room and venue booking, set up, invites etc.) Provide Human Resources support to our People Manager, including: Managing users on our HRIS (People management) system, HiBob Keeping our Company Org chart up to date Managing our Perkbox account, rewarding the team with various treats and providing access to highstreet discounts Deploying, analysing and making recommendations from various reports (absence, holiday, surveys, eNPS, engagement etc) Creating basic letters such as probation passes, reference responses Supporting in various HR Employee Relations cases including minute taking and paperwork Onboarding actions e.g. setting up on TrustID for right to work checks, welcoming new joiners, system demonstrations Assisting with general employee processes such as hiring, recruiting, vetting candidates and assisting with interviews Managing our LinkedIn profile. Developing and uploading content to ensure we are positioned as an employer of choice alongside using LinkedIn as a recruitment tool Act as front line support for all employee queries Manage the set up and day-to-day support of our team’s technology (including managing users on our various systems and arranging equipment for our team members). For example, you will own: Ordering laptop and equipment for new starters via third parties Setting up / removing / monitoring users on our internal systems (Gmail, Asana, Slack, subscriptions and licences e.g. Adobe and Microsoft) Maintenance of our fixed asset register Basic IT support queries (such as unlocking systems and tech problems) Support our Executive team by: Managing ad-hoc tasks such as arranging calls and co-ordinating meeting / venue bookings for the Executive team, as required Facilitating all travel and accommodation bookings for our CEO, Founders and Board Manage our physical office spaces: You’ll be responsible for all day-to-day management of our Manchester space alongside supporting remotely our Bath operation, such as Co-ordinating post and deliveries Managing office access and memberships Keeping sites stocked, tidy and organised Ordering supplies, refreshments and seasonal decorations We’re Excited About You Because… You have 2 years (or relevant) previous office management or HR administrative experience, preferably in a faced-past and hybrid working environment You have strong communication skills, and confident in supporting colleagues across all levels of seniority within the organisation You are highly organised and love to implement and follow processes You have strong interpersonal skills, with a hunger for learning and development; a team player with a positive attitude You have a strong ability to prioritise and manage resources to maximise results You thrive in a dynamic, fast-paced work environment with other colleagues who are also motivated and collaborative About Abbott Lyon Abbott Lyon was named on the 2023 list of 100 fastest-growing companies in the UK.
