Vulcan Flue Systems are looking for a Customer Service Operations Executive to join our team. This is an exciting opportunity to join an established but growing business in Tunbridge wells. As a Customer Service Operations Executive you will form an integral part of our team. Your main responsibilities will be as follows: - You will have a confident phone manner and be organised in your approach to work. You will have regular communication with our customers both by email and over the telephone, keeping our CRM system, project folders and accounting system up to date with customer information. - You will be responsible for placing material orders and reviewing supplier invoices enabling you to allocate material costs against each individual project. Using this information, you will produce weekly reports demonstrating profit levels on a project-by-project basis. - You will pull together all of the supplier invoices for prompt payment (by a company director) within our agreed supplier terms. -You will issue invoices to our customers through our accounting software and make calls, followed up by email, to remind any late paying customers of overdue payments. - You will manage the project and staff attendance diary ensuring no clashes occur and making sure all staff holiday/absence is logged. - You will organise the training diary, allocate online training courses to team members (as directed by your line manager), and ensure the team keep up to date with their allocated training courses. - You will be working with our current systems and procedures on a daily basis. We listen to our employees and your line manager will welcome suggestions on improvements to these. You will be supported in implementing these changes where agreed. You will assist the management team in day-to-day administrative tasks. -You will receive full on the job training on all our systems/processes to enable you to carry out your role effectively. Requirements -You will have a confident telephone manner -You will have excellent organisational skills and be self-motivated. -You must be flexible and able to work under pressure and to deadlines. -You will be competent and confident using Microsoft Outlook, Word and Excel. -You will have good literacy and numeracy skills and pride yourself in strong attention to detail. -You will be able to undertake tasks with minimum supervision. -You must be able to work as part of a team. About Vulcan Flue Systems We are an engineering business specialising in the design, supply and installation of flue systems serving heating appliances (typically boilers and water heaters) in commercial and residential buildings. Our wide range of clients include, Mechanical & Electrical consultants, Plumbing and Heating companies, Architects and main contractors. We have worked on a number of flagship projects over our 11 years of trading. We are a focused but friendly business, we work as a team, our staff of all levels are listened to, and we encourage new ideas to improve the running of the business from all employees. Our aim is to develop our staff so their roles can grow as the company does. We are based in Tunbridge Wells and our projects cover the Southeast with most of our projects taking place in Central London. Salary The starting salary for this role will be between £25,000 - £28,000 depending on experience, 23 days holiday a year (plus bank holidays), with a workplace pension. Secure parking is available in our car park free of charge. Working hours Working hours will be full time standard office hours of 9am-5pm Monday to Friday. We would also consider 9am-3pm School hours for the right candidate (on a pro rata basis)
