Administration Assistant Administration Assistant vacancy for an independent, family-run domestic gas company based in Abbey Wood, south-east London. Blue Flame Gas Services focuses on servicing, maintaining and the installation of domestic gas appliances (central heating boilers/systems, gas fires, gas cookers etc.) and carries out gas safety reports for landlords and local letting agents. The Director is looking for a motivated and experienced Office Manager to join our dynamic team either on a full-time or a part-time basis. Key Responsibilities of the Administration Assistant Office Management Oversee the day-to-day operations of the office, ensuring all administrative tasks are completed efficiently and professionally; Taking telephone bookings and enquiries from customers and greeting any personal callers face-to-face; Manage office supplies ensuring stock levels are maintained; Manage customer records ensuring the IT systems are updated and liaising with local merchants with parts enquiries ensuring timely responses to client enquiries or responses to breakdowns. Administrative Support Provide administrative support to the Director including diary management; Accurate recording of invoices on Sage software; Updating landlords' gas safety record expiry dates on Excel spreadsheets; Ensure all client data and sensitive information is stored securely and in compliance with GDPR regulations; Filing documents as needed. Compliance & Record Keeping Registration of new gas appliances with Gas Safe Register; Registration of new gas appliances with the manufacturers to maintain guarantees and warranties; Assist in maintaining accurate records ensuring that all customer records are up-to-date. Qualifications and Skills of the Administration Assistant Excellent communication skills; Proven experience as an Office Manager is advantageous; Experience within the gas industry is desirable; Ability to work effectively in a busy environment and to achieve customer satisfaction within strict deadlines; Competent in Microsoft Office Suite (Access, Word and Excel) and experience working with Sage accounting system beneficial.
