An exciting opportunity has arisen within our Imaging team for an individual with excellent communication skills to join our dynamic team. The role requires a proactive and dynamic individual able to quickly adapt to different ways of working. The post holder will be a core member of the team, assisting with the smooth running of the patient journey. The post will be expected to work alongside the existing Pathway Co-ordinators to provide a central point of contact for all enquiries and advice with respect to referrals, appointment times and Consultant Radiologist's timetables.
You will act as the main point of contact for all medical staff and GPs on behalf of the Consultant Radiologists ensuring that all queries are answered with skill, sensitivity and in a courteous and professional manner.
You will have a sound knowledge of RIS (Radiology Information System) to ensure efficient use of appointments, report monitoring and worklists. You will also be expected to use various software packages such as PACS (Picture Archiving and Communications System), IEP (Image Exchange Portal), Careflow and NHS mail.
A good understanding of Trust and Government Policies around waiting list management and Trust CARE values are also essential.
You will be educated to Grade 9-4 standard to include English Language (GCSE grade C or above, or equivalent) together with NVQ Level 3 in Customer Care (or working towards).
This is an exciting opportunity to be part of a friendly, dynamic department situated within the Imaging Department at Chesterfield Royal Hospital.
Key Responsibilities:
1. Act as the main point of contact for all medical staff and GPs on behalf of the Consultant Radiologists.
2. Answer telephone calls and deal with enquiries appropriately, ensuring that urgent enquiries/correspondence are actioned timely and efficiently.
3. Accurately inform clinicians and other staff members of outcomes and information to influence effective service delivery.
4. Ensure that the In/Out Board is updated daily to give an accurate record of all consultants’ availability.
5. Ensure urgent notifications are actioned daily.
6. Have a sound knowledge of the Radiology Information System for efficient and accurate use of appointments diary, stats module, report information list, and reporting worklists.
7. Identify and retrieve from EMRAD PACS, CRIS or IEP systems all requests for images and/or reports.
8. Retrieve films from filing areas when images are not available digitally.
9. Liaise with the medico-legal department ensuring compliance with current medico-legal legislation.
10. Use the National Portal system to rectify incorrect and duplicate patient records.
11. Assist with testing and implementation of upgrades to existing systems.
12. Maintain accurate patient records within the Radiology Information System.
13. Monitor the Report Information List daily and decide which images are to be sent off site for reporting.
14. Check deferred request lists and contact relevant persons to ensure patients are joined on appropriate systems.
15. Maintain documentation and retain necessary records for the safe and effective use of the Radiology Information system.
16. Select and code images for sending off site for reporting.
17. Keep an accurate record of all images sent off site.
18. Be in regular contact with outsourcing companies to ascertain reporting capacity.
19. Monitor turnaround times for images sent off site for reporting.
20. Insource to the Consultant Radiologists as required and ensure accurate records are kept.
21. Monitor the Radiologists’ worklist throughout the day for timely reporting.
22. Manage all emails coming into the Department and deal with enquiries efficiently.
23. Ensure all cancer targets are met within the specified time frames.
24. Provide training and support to staff in the effective use of the Radiology Information System.
25. Promote and maintain good working relationships within the team and other Departments.
26. Carry out general clerical duties within the department as required.
27. Report faults to appropriate bodies and monitor outcomes.
28. Liaise with the clerical team to maintain adequate stationery supplies.
29. Support research and audit undertaken by other members of the multidisciplinary team.
