We have a rare and exiting progression opportunity for an internal candidate to join Optimal Med as an Operations Administrator. Optimal Med are a medico legal report provider, working with solicitors dealing with personal injury claims. The Operations Administrators within the team are responsible for managing new instructions in road traffic accidents, accidents at work, public liability cases, medical negligence claims and handling all aspects of a case from conception to settlement. This is a hybrid position, which will require office attendance at least 1 day per month. Key Responsibilities: Creating cases and accurately entering data received electronically Arranging appointments with our panel of medical experts in accordance with case requirements Requesting and chasing medical records Chasing medical experts to ensure reports are received in line with current service levels Quality and fact checking medical reports before sending to the instructing party Providing instructing parties with regular updates and responding to queries in a timely fashion Generating invoices for services provided Arranging interpreters for medical appointments & court hearings Locating, liaising with a negotiating terms with new medical experts and treatment providers To work efficiently and accurately at all times To take responsibility for each case worked and aim to progress them as quickly as possible To build relationships with solicitors, medical records providers, medical experts, treatment providers and interpreters To keep instructing parties well informed of case status and highlight any potential issues in a timely fashion Maintain confidentiality To provide excellent customer service to clients and solicitors at all times The ideal candidate will have: Ability to work accurately and calmly under pressure Excellent communication, comprehension and telephone skills Customer service skills A keenness to learn and develop new skills Self-motivated, enthusiastic and willing to undertake new responsibilities as knowledge develops Previous knowledge of the medico legal industry and Proclaim is desirable Polish language skills would be advantageous, but are not essential English and Maths G.C.S.E. standard grade C or equivalent Computer literacy
