Founded in 1967 as the Merton Family Housing Trust, we have since grown into an organisation with over 7,000 homes across nine south London boroughs. We are a provider of homes for rent (social and affordable), shared ownership, outright sale, and supported housing. We also have a small portfolio of commercial properties and garages. As a social housing provider, Wandle has regulatory commitments to ensuring building safety, with specific duties discharged to teams. The Building Safety & Property Compliance Team are part of Asset Management and have specific responsibilities for: Fire safety incl. fire risk assessments, fire door inspections and fire safety systems and/or equipment programmes Building safety – incl. cladding, Building Safety Act and Fire Safety Act requirements Water hygiene incl. water risk assessments and remedial works programmes Asbestos incl. asbestos surveys, re-inspections and removals programmes Fall arrest systems – programme of annual checks Providing assurance to Wandle’s Executive Team and Board on building safety activities The purpose of the role is to provide support for all aspects of the Building Safety & Property Compliance Team’s and the wider Asset Management building safety management and compliance functions. In this role, you will be responsible for providing support to help ensure Wandle’s compliance programmes run smoothly, and residents are consulted, engaged, and communicated with on building safety activities. Support includes administrative functions for contract meetings, dealing with payments, raising actions on Wandle’s CRM system, and providing a data handling function in relation to asset management & compliance systems. This role also requires the management of key areas of support functions such as managing inboxes, dealing with internal and external queries, updating intranet and internet sites as well as taking the lead in the use of asset management and compliance systems. To be successful in this role, you will have a background in supporting building safety-based servicing and compliance programmes. You will also be confident and experienced in managing data, dealing with customers, colleagues and contractors, and have the IT skills to update Wandle systems such as internet sites and asset management & compliance systems. A day in the life: You will: Co-ordinate work associated with building safety compliance activities, including annual and periodic inspection and servicing programmes. This includes resident engagement where required. Liaise with staff across departments to provide support where there are issues of no-access to properties. Co-ordinate ‘no access’ legal activities in Asset Management by tracking cases for the No Access Panel to ensure progressed in a consistent and effective manner. This includes maintaining evidence of no-access attempts from staff and contractors. Contact customers, contractors and internal staff with regards to queries relating to servicing programmes. Contact Managing Agents to get building safety information such as fire risk assessments on properties where Wandle do not directly manage the properties. Manage team inboxes, general enquiries and CRM workflows from internal and external customers and contractors. Manage Wandle websites for specific sites to keep residents informed of ongoing work by monitoring to keep updated, liaising with the web developers with updates and working with Building Safety and Asset Management Team members to provide updated information. Carry out resident engagement activities such as consulting with residents and providing building safety information to residents in a variety of formats. This includes managing building safety content for Wandle’s customer portal. including mailouts to residents in the applicable blocks. Support any necessary customer consultation activity by helping to ensure that customers and other stakeholders are aware of plans and proposals. Extract and manipulate compliance data from compliance systems for report requests, following up with team members to check the accuracy of the data to help ensure reliable compliance data is provided. Support the Building Safety & Property Compliance Team to maintain and keep up to date servicing records, working with the compliance and data officers to ensure up to date records on corporate systems. Maintain accurate compliance data on relevant systems. File certification in an orderly and logical manner so to allow its rapid retrieval in shared folders and on compliance/asset systems. What you will need to have: Educated to a minimum of GCSE, or equivalent standard, with specific emphasis on the ability to demonstrate effective communication and accurate literacy and numeracy Social Housing experience (Desirable) Experience in building safety / compliance activities (Desirable) Knowledge of relevant social housing / building safety legislation (Desirable) Excellent customer service skills Excellent written and oral communication skills Effective workload management, working to deadlines Excellent communication/interpersonal skills with people at all levels Ability to build and maintain business relationships Computer literate (Word, Excel, PowerPoint) Experience using CRM systems (such as Dynamics) What next?
