Scope Houlihan Lokey is seeking a Facilities Supervisor (FS), who will be responsible for the provision of a first-class facilities-support service throughout the London office. The FS will prioritize the day-to-day workplace activities as directed by the CSM. The position involves a variety of tasks, including but not limited to, building maintenance, security management, landscaping, cleaning, recycling and waste management, pest control, and establishing good contractor/vendor relations. Responsibilities Responsible for the management of the Facilities team (a Facilities Assistant and a Workplace Assistant). Ensure a safe, well maintained and secure workplace which will involve active management of the Facilities Service Desk and will include daily floor walks and site inspections. Data management of the door access control system; export of daily, weekly and weekend attendance reports; management and audits of security passes. Maintain accurate and up-to-date records of the firm’s Health & Safety file, O&M manual and PPM periodicals, covering all hard/soft services (including building repair, cleaning, plumbing). Responsible for the day-to-day Health & Safety and will carry out Risk Assessments and DSE assessments, as and when required. Act as lead Fire Marshal and First Aider. Work closely with the landlord’s building and security teams to deliver the best outcomes for Houlihan Lokey. Oversee the interior landscaping contract and ensure planting is always looking fresh and well maintained. Oversee the cleaning contractors and ensure the workplace is always exceptionally clean, tidy and pest free. Help drive sustainability initiatives within the workplace. Office space planning: updating and editing floor plans for office lay-out changes and moves. Supplier invoice reconciliations. Oversee the onboarding and offboarding process for employees and contractors. Conduct the New Starter welcome introduction and building orientation tour. Set-up of staff food delivery and taxi accounts. Staff locker administration. Oversee the removal/retrieval of office furniture and documentation to the firm’s off-site storage facilities. Basic Qualifications 7-10 years’ experience in Facilities Management, ideally within a global, financial services organization. Excellent technical knowledge of M&E services, PPM, H&S processes and systems. Strong vendor management and contract negotiations experience. Demonstrable experience managing a team – we’re looking for a strong leader who enjoys motivating and supporting their team through coaching, mentoring and training. Must be IT literate and a competent user of Microsoft Office products, particularly Excel and PowerPoint. Basic knowledge and experience in CAD. IOSH/COSHH trained or equivalent. Confident self-starter with a strong sense of ownership. Take a positive and practical approach to problem-solving with a good eye for detail. Excellent organizational and communication skills. A flexible, responsive, service-oriented attitude, with the ability to take initiative and meet deadlines in a timely manner. Ability to effectively interact with all levels of staff and always maintain confidentiality. Preferred Qualifications Proven construction and project management experience.
