Vacancy Description
* Liaising with their Run Way East Account Manager regarding facilities/services and resolving issues
* Making arrangements for external visitors to the office
* Assisting staff with routine HR queries
* Updating records on their HRMIS, CiPHR, up to date with excellent attention to detail
* Monitoring the ‘Recruit’ inbox for vacancies, ensuring that all documents are received from hiring managers, checking the details and reformatting as appropriate
* Coordinating recruitment timetables with managers and those on the interview panels
* Placing vacancies on i-Recruit, collating applications and sending these to hiring managers
* Drafting letters and contracts in a timely manner
* Updating CiPHR working patterns, inputting salaries and terminating records, assisting the HR Officer where needed with annual leave calculations etc
* Staff benefits administration (including Bupa and pensions)
* Follow the Brooke’s equal opportunities statement which aims to clarify the value they place on diversity and steps they take to promote equality of opportunity for all
* Perform such additional tasks as may reasonably be requested from time to time by the Line Manager or others in the P&C team
* Adhere at all times to Brooke’s policies and procedures
* Sending routine correspondence to external parties
* Maintaining a record of contracts and memoranda of understanding for the whole organisation
* Maintaining and renewing legal databases and the legal library
* Assisting the Head of Department and the Solicitor with general administration
* Renewing the charity’s annual registration with the Information Commissioner’s Office, on behalf of the Data Protection Officer
* Booking in external data audits on third-party processors
* Attending and taking minutes at the joint Legal & Fundraising Compliance meetings
* Conducting due diligence checks on third-party suppliers and partners
* Assisting the Information Governance Manager with general administration
* Booking meeting rooms for Board and Committee meetings
* Processing expenses on behalf of Trustees
* Printing hard copies of papers for Trustees, where required
* Monitoring Global Service Desk tickets and keeping internal stakeholders appraised of progress
* Organising UK and overseas travel and accommodation for Trustees and staff
* Support with some Finance team administration as needed
* Ordering office supplies and stationery
* Other reasonable duties
