Clinical Governance Administrator
Location: Yorkshire Clinic, Bingley
Hours: 37.5 hours per week, Full-time
Salary: Dependent on experience + Benefits
Summary:
The Yorkshire Clinic is one of West Yorkshire's leading private hospitals set in three acres of woodland in the grounds of Cottingley Hall near Bingley. The hospital opened in 1982 and currently has 57 bedrooms including one twin-bedded room all with en-suite facilities.
By investing in advanced medical technology, the hospital offers a wide range of treatments and services. The four fully equipped theatres, all with ultra clean air technology, are particularly suitable for orthopaedic procedures, such as arthroscopy, hip and knee replacement.
The role:
We currently have a great opportunity for a Clinical Governance Administrator to join our team at Yorkshire Clinic, based in Bingley.
The Clinical Governance Administrator will be responsible for providing administrative support to the Governance and Compliance Lead, ensuring that high quality and timely support is provided at all times. You will be responsible for helping in promoting the development of effective governance, risk, patient safety and assurance, working in line with the latest requirements set out by the Care Quality Commission (CQC).
You will be required to liaise with people at all levels and co-ordinate various aspects of governance administration across the service. This includes audit, incidents and complaints, maintenance of risk registers, policies and procedures, writing meeting minutes generating action logs and ensuring members complete actions timely. You will also have excellent IT knowledge and skills and the ability to use Excel and all other Microsoft applications. If you like data and report writing using the IT systems or other data sources, to produce documentation, presentations and create databases this role could be for you.
Key Responsibilities:
1. Ensure that all evidence required to be submitted to the CQC is readily available and up to date.
2. Record minutes for all Clinical Governance Sub-Committees and Clinical Governance Committees.
3. Develop action logs for each Committee.
4. Ensure actions are completed by the lead timely and can be evidenced.
5. Ensure full attendance by committee members.
6. Support large clinical departments Heads with minute taking for their departmental meetings.
7. Collect data and create spreadsheets and graphs to support KPI analysis - Incidents, complaints, outcomes.
8. Collect information to support investigations.
9. Track actions, develop action logs for audits, strategies, quality accounts.
10. Carry out administrative tasks to support clinical promotional activities/events.
11. Create posters, leaflets, information to support clinical services.
12. Contribute to meeting CQC regulation standards.
13. Manage the administration of clinical guidelines/policies and procedures.
14. Audit activity - ensuring robust systems are in place to monitor and support individual services in ensuring audit compliance and to embed service improvements identified through the audit process.
15. Coordinate and collate quality surveys.
Skills & Knowledge:
1. Experience in a healthcare governance administration related role.
2. Knowledge of risk management systems would be ideal i.e RADAR, DATIX.
3. Demonstrable track record of building effective working relationships.
4. Excellent verbal and written communication skills.
5. A high level of IT literacy (Word, Excel - creating formulas, setting up data validation, ability to create and amend graphs, PowerPoint, Publisher).
6. Flexibility and adaptability to meet the changing needs of quality governance.
7. Demonstrated excellent customer service skills.
8. Demonstrate a good work ethic that includes punctuality, integrity, respect of others and a commitment to professional practice. 'Leading the Ramsay Way'.
