Job Summary: We are seeking an organised and proactive Medical Practice Coordinator to support the operations of our private practice, working closely with consultants to provide exceptional patient care. This role involves managing appointments, coordinating with hospital partners, handling patient payments, and maintaining efficient communication across the team. The ideal candidate will be skilled in administrative and financial tasks, able to work both collaboratively and independently.
Key Responsibilities:
Practice Coordination:
* Oversee day-to-day activities of the practice, ensuring a smooth and efficient environment for patients and consultants.
* Serve as the main contact for patients, consultants, and hospital partners, facilitating clear and timely communication.
Diary & Appointment Management:
* Coordinate consultants' schedules, including clinic and theatre lists.
* Book patient appointments for consultations and procedures in both clinic and theatre settings.
* Liaise with hospital administration to confirm clinic availability and theatre bookings for consultants.
Billing & Financial Management:
* Process payments for self-pay patients and follow up on outstanding insurance excesses.
* Generate and issue invoices for consultations, procedures, and operations, ensuring accuracy of fees.
* Prepare and communicate self-pay quotations for procedures to patients.
Administrative Duties:
* Complete all dictation and transcription within a 24-48 hour timeframe.
* Maintain accurate documentation for patient records, appointment schedules, and billing.
Patient Services:
* Deliver excellent patient service, answering queries and guiding patients through appointment and payment processes.
* Ensure a professional and supportive experience for all patients throughout their care journey.
Collaboration & Initiative:
* Work effectively within the team, offering support as needed to ensure smooth operations.
* Take initiative to independently resolve issues and anticipate needs to enhance patient care and consultant efficiency.
Qualifications:
* Previous experience in medical administration or healthcare coordination, ideally within a private practice setting.
* Strong organisational and multitasking abilities with a focus on detail.
* Proficiency in managing billing, invoicing, and scheduling tasks.
* Excellent communication skills, both written and verbal.
* Ability to work both independently and collaboratively in a dynamic, patient-focused environment.
Preferred Skills:
* Familiarity with medical terminology and healthcare billing.
* Experience with practice management software.
* Strong customer service skills and a patient-centred approach.
