Provide leadership and management to enable the practice to meet its agreed objectives within a profitable, efficient, safe and effective working environment. The following are the core responsibilities of the practice manager. There may be on occasion, a requirement to carry out other tasks. All personnel should be prepared to accept additional duties to enable efficient running of the practice. This document may be amended. The Practice Manager is responsible for: a. Overseeing the day-to-day operations of the practice and dispensary, ensuring staff achieve their primary responsibilities b. Functional management of all clinical and administrative staff c. Direct line management of the following staff: Deputy Practice Manger, Reception/ Administration/Dispensing Team and the Clinical Team. d. Managing the recruitment process for the practice. e. Keeping abreast of the current affairs and identify potential threats and opportunities f. Establishing, reviewing and regularly updating Job Descriptions and Person Specifications g. Managing various services i.e. cleaning, gardening, window cleaning etc. h. Leading change and continuous improvement initiatives i. Coordinating the reviewing and updating of all practice policies and procedures j. Coordinating and lead the compilation of practice reports and the practice development plan (PDP) k. Managing the financial elements of the practice, including budgets, practice accounts, petty cash, etc. in conjunction with the partners l. Ensuring the team reach QOF/QAIF targets (supported by the nursing and administrative leads) m. Arranging appropriate insurance cover n. Managing and monitor PAYE for practice staff and maintain appropriate records o. Managing contributions to the practice pension scheme(s) and maintain appropriate records p. Convening meetings, prepare agendas and ensure distribution of minutes as necessary q. Arranging appropriate maintenance for practice equipment r. Organising patient questionnaires s. Organising flu clinics, co-ordinate staffing and vaccine supply. t. Dealing with partnership/GP changes retirement, new appointments, etc. u. Coordinating the practice diary, ensuring meetings are scheduled appropriately v. Arrange and support medical students and GP Registrars w. Liaising at external meetings as required x. Marketing the practice appropriately y. Managing the practice website z. Arranging locum cover for the practice when GPs are on annual/sick leave aa. Managing all complaints effectively bb. Ensuring compliance with legislation and deal with disciplinary issues accordingly cc. The management of the premises, including health and safety aspects such as risk assessments and mandatory training dd. Managing the practice IT system. ee. Ensuring compliance with IT security and IG Toolkits ff. Coordinating of all projects within the practice gg. Ensuring all staff have the appropriate level of training to enable them to carry out their individual roles and responsibilities effectively hh. Assessing and evaluate accommodation requirement and manage developments and expansion plans ii. Deputising for partners at internal and external meetings jj. Partaking in audit
