Position Summary:
Overlook Barn is looking for a dedicated, customer-focused, and detail-oriented Venue Manager to join our team. This role is central to the venue’s operation, ensuring a seamless customer experience from initial contact to event execution.
KEY RESPONSIBILITIES
1. Client Acquisition: Conduct engaging venue tours, initiate and deliver contracts, and conduct contract review calls to secure new clients. Capture behind-the-scenes content for marketing efforts.
2. Client Event Prep and Execution: Serve as the primary point of contact with couples and their vendors leading to the event day. Email payment reminders and information leading up to the event, conduct 30-day out meetings, answer questions, schedule vendor arrivals and pick-ups, attend rehearsals, execute events. Serve as our primary venue host for event days and keep an eye out for property or process improvements to make our wedding days even more successful. Oversee the execution of events, ensuring vendors comply with venue guidelines.
3. Venue and Team Management: Lead preparations for the event season, including maintenance schedules and supply tracking. Manage the housekeeping team, maintenance team, events team, and setup team and oversee venue and accommodation readiness. Serve as the primary liaison and communicator between the owner and operations. Facilitate the team’s onboarding and training, ensuring all staff align with our service standards. Attend professional meetings to expand the venue’s network and reputation. As a small organization with a small team, there are other miscellaneous duties needed periodically such as dropping off rack cards to chambers of commerce, networking with local businesses, and picking up supplies (reimbursable).

Qualifications
1. Event Management Experience: Proven experience in event management or a related field, including wedding and special event planning.
2. Abilities: Ability to stand for long periods of time, ability to lift 20 lbs.
3. Skills: Familiarity with Google Suite, or ability to learn quickly, is highly preferred. Reliable transportation to Beech Mountain year-round is a must.
