Salary: £23,615 per annum - AfC Band 2
A permanent full time vacancy has arisen for a Patient and Administration Support Assistant to work as part of the Suite 5 Administration Team.
You will provide full clerical and reception support to the Suite 5 Department and undertake general clerical duties for the Nutrition and Dietetics, Occupational Therapy, Physiotherapy, Podiatry and Speech and Language Therapy Services within Suite 5.
You will possess or be working towards a typing/word processing/IT qualification (or equivalent) and be able to demonstrate knowledge and experience of general office practices. You must also have excellent communication skills, be able to prioritise your workload and work effectively on your own and as part of the admin team.
Experience within an office environment together with experience of dealing with members of the public and general telephone enquiries is essential.

Provide a professional clerical and reception service to the Therapies and Dietetic Outpatient Department (Suite 5) to ensure that patients, carers, staff and visitors receive a friendly, courteous and efficient service.
To receive patients in a professional and friendly manner, check their documentation details on the Medway and/or EPR (SystmOne) and direct the patient to the appropriate clinic.
Operate a VDU to access the Medway and/or EPR (SystmOne) systems ensuring that accurate patient computer records are maintained and arranging/changing/cancelling outpatient appointments in accordance with local policies and procedures.
To ensure that general clerical duties associated with the administration of the outpatient reception service, such as typing, filing, photocopying, collection of patient notes etc are carried out in a timely manner and to a professional standard.
Track patient medical notes at the request of a member of the Therapy service.
Ensure that documents are produced to high standard, from digitally dictated material or hand written notes and prioritise workload to ensure that required deadlines are met.
Answer enquiries, receive and rely messages, both in person, via e-mail and on the telephone, from patients or hospital staff, using a working knowledge of hospital procedures to maintain a professional front of house and clerical service.
Maintain associated equipment and material including stock items using the departmental ordering system, ensuring that all items are delivered to their final destinations efficiently.
Carry out general clerical duties including processing of referrals, scanning, filing, photocopying, sending and receiving faxes/e-mails and processing post.
Ensure all information leaflets and educational materials used by Therapy Services are produced, updated and printed.
Communicate effectively with GP practices, hospital staff, health and social services, other agencies and external contractors on behalf of Therapy staff.

You will be expected to work within the team to cover core hours in agreements with locally defined rotas.
To undertake any additional duties deemed relevant to the post.
