About The Service
An exciting opportunity has arisen to join the School Organisation Planning (SOP) Team within Education.
The School Organisation Programme Team within the Education Directorate is responsible for the effective planning of school places in Cardiff, and ensuring the delivery of school places through a range of building adaptations, extensions, and new build schools. It also manages the change in organisation of schools and the establishment of new schools. In addition, the team is responsible for large capital budgets relating to large-scale asset renewal projects, suitable and equality access projects, and is responsible for the health and safety of Education staff, users, and pupils, with respect to the safety and suitability of school premises.
All work undertaken by the team directly relates to the improvement of teaching and learning in schools, and continues to adapt to changes in curriculum and technology, for the betterment of learning opportunities across all establishments.
About the job
This is a key administrative post responsible for supporting the delivery of effective processes in relation to Capital works across schools, and the Health and Safety of schools, in relation to school buildings.
This role is responsible for ensuring that Education budgets for capital works are monitored and reported in a timely and accurate fashion. This includes the creation and maintenance of detailed monitoring tools to track progress and issues. The post holder will also input significantly into the prioritisation of capital funding for a variety of condition, suitability, and sufficiency projects, by collating information from different areas and applying criteria.
The post holder will report to an Asset Commissioning Lead, who will support them in their work. Work includes updating systems and information, raising works orders, managing procurement processes, and monitoring progress and budgets.
The post holder will commission Building Services and others to progress works, and will work collaboratively with that team to ensure the delivery and reporting of projects. Work will also include ensuring procurement and financial processes are followed.
This post will join two other post holders, and this role will be more orientated to managing financial matters, including processing invoices and financial orders, and liaising with providers regarding invoice queries.
What We Are Looking For From You
You must have experience of working with a range of service areas and soliciting information from them in order to collate reports for senior managers, as well as escalating issues. You will also have experience of analysing information and supporting improvement in processes.
You must have very effective communication and organisational skills and be committed to meeting customer needs. You will also have excellent IT skills in order to produce a wide range of reports and interrogate a number of IT systems, including financial systems.
