NDreams is looking for a Personal Assistant to provide hands-on support to the Executive team. This is an important role where you’ll play a big part in keeping everything ticking along so the leadership team can focus on the bigger picture. Requirements Key Responsibilities: Calendar Management: Keep directors’ schedules running smoothly by arranging meetings, conferences, and appointments while proactively resolving scheduling conflicts. Travel Coordination: Work with the travel team to organise and book domestic and international travel, including flights, accommodations, and transportation, ensuring seamless and timely logistics. Meeting Coordination: Prepare agendas, coordinate logistics, and arrange meeting rooms and equipment. Attend meetings, take minutes, and share follow-ups with relevant stakeholders. Communication Management: Handle phone calls, emails, and correspondence on behalf of the directors. Information Management: Maintain and organise both digital and physical filing systems, ensuring easy access to documents while safeguarding confidentiality. Relationship Management: Act as a liaison between the directors and internal/external stakeholders, fostering strong relationships with staff, board members, and investors. Project Support: Conduct research, compile data, and assist in preparing presentations. Coordinate resources to support various projects and initiatives. Expense Management: Process and track expenses to ensure timely and accurate reporting. Confidentiality: Handle sensitive information and documents with the utmost discretion and professionalism. About you: Proven experience in a Personal Assistant, or similar role. Excellent organisational skills, with the ability to stay focused and manage priorities effectively. Strong written and verbal communication skills, presented in a clear and professional manner. Advanced proficiency in PowerPoint, with the ability to create polished, engaging presentations to support meetings and projects. Familiarity with other office tools such as Microsoft Office and collaboration platforms like One Drive. A friendly and approachable personality, capable of building positive relationships with ease across the business. High standards of confidentiality and professionalism, with a keen attention to detail in all tasks. A calm, solution-focused mindset, adept at tackling challenges and finding resolutions.
