Job overview
The Pharmacy Department requires a friendly, organised and efficient Administrator team leader to lead the administrative duties of the pharmacy department. The post-holder will also provide effective organisational, secretarial and administrative support to the Chief Pharmacist and the pharmacy leadership team including responsibility for supporting the co-ordination of the timely review of medicines related Trust-wide policy documents and patient group directions. This role is also the Dignity at Work, staff vaccination and staff survey champion for the department.
This is a key liaison role and often represents the ‘face of pharmacy’ with external stakeholders. As such, we are looking for someone with a professional manner and excellent communication, IT, minute-taking, organisational and time management skills plus the ability to work independently without direct supervision.
Main duties of the job
1. To manage and supervise the General Pharmacy administrator Clerical Officer(s) team.
2. To provide a comprehensive and confidential secretarial and administrative support service to the pharmacy leadership team.
3. Oversee the administrative functions of the department, including electronic rostering of staff, contracts and staff absence.
4. Act as Personal Assistant to the Chief Pharmacist.
5. To be responsible for the administration and minute taking of internal and external pharmacy and medicines optimisation committees and working groups.
6. To manage the administrative processes for Patient Group Directions (PGD) and related documents and act as secretary for the Trust PGD group.
7. To oversee the co-ordination timely review of the Medicines Policy and related documents within the Trust and the successful upload onto the Documents Library.
8. To supervise and hold line management responsibility for the pharmacy.
9. To be the department champion for Dignity at Work, seasonal vaccination and the annual staff survey.

Qualifications
* Good general education including GCSE Maths and English at grade C or above or equivalent
* RSA Stage III Typewriting/ Word processing or equivalent
* Degree level / or able to demonstrate an equivalent level of administrative / management knowledge and theory
* ECDL or equivalent experience in Microsoft Office and email applications.
* Secretarial Certificate or Diploma or equivalent
* Shorthand qualification
Experience
* Substantial proven secretarial experience working at a senior management level
* Experience in taking transcribing and circulating minutes of meetings
* Experience of arranging and co-ordinating large group meetings
* Extensive experience of administering an office environment
* Worked independently without supervision
* Managing and supervising staff
* Experience as a Personal Assistant
* Experience of assisting in the application of organisational HR policies
