Introduction and Role:
EcoDuct Ltd is engaged in the UK HVAC market (Heating, Ventilation and Cooling) and manufactures and distributes non-metallic, pre-insulated ductwork using innovative manufacturing techniques. The company is based in Fleetwood, but a growing team of sales and business development professionals is distributed throughout the UK, meeting regularly via Zoom and face-to-face as required.
EcoDuct has a unique position in the HVAC market with substantial growth and business development prospects. The company has embarked on an ambitious five-year growth plan and is recruiting qualified professionals across a wide range of industry-relevant skills, all of whom are expected to be an important part of this growth process.
We are seeking a meticulous, reliable and capable sales administrator based at our manufacturing premises in Fleetwood, to manage the entire sales process, from initial enquiry through to quote submission, order negotiation, order execution, receipts and post-completion follow up. You will also be required to manage all the relevant documentation and generate the necessary sales and activity reports.
A critical part of your role will be relationship development with the customers with a key objective being high-level customer satisfaction and over 90% repeat and referral business.
Salary will be commensurate with qualifications and experience.

To ensure success, sales administrators should have experience in a sales environment and advanced administrative skills. Outstanding sales administrators understand sales performance metrics and provide excellent administrative support to ensure sales targets are met. Experience in the use of ACT! CRM would be an advantage for this position but is not essential as full training will be given.
Sales Administrator Responsibilities:
* Receiving, recording and processing quote enquiries.
* Managing and recording the issue of quotes.
* Quote follow up, amendments and revisions.
* Contacting customers by phone or email to answer queries and obtain missing information.
* Receiving and processing purchase orders, including customers' financial information, credit limits and other relevant data.
* Managing, recording and minimising risk in the entire process.
* Expediting orders through internal liaison.
* Maintaining and updating sales and customer records.
* Monitoring order execution to completion; managing post-completion process, including customer satisfaction report and action arising.
* Compiling monthly sales and related activity reports.
* Directing feedback from customers to relevant departments.
* Supporting the sales department with other administrative tasks, if requested.
Sales Administrator Requirements:
* Most importantly: competency, reliability, flexibility, professionalism, determination and an uncompromising commitment to work and service excellence.
* Good educational qualifications.
* Previous experience in sales administration, or a similar role.
* Exceptional interpersonal and customer service skills.
* Experience with CRM industry software.
* Advanced knowledge of administrative record keeping.
* Familiarity with sales reports and records.
* Proficiency with word processing and spreadsheet software.
* Excellent written and verbal communication skills.
* Good telephone manner.
* The ability to show initiative and think-out-of-the-box.
* A commitment to continuous improvement and excellent teamwork.
Job Type: Full-time
Pay: £23,000.00-£28,000.00 per year
