Patient Services - Receptionist

The Role:
As a Patient Services Receptionist with us, you'll play a pivotal role in providing excellent patient care, efficient and professional receptionist duties, and general administrative support as required. This is your opportunity to make a meaningful impact and develop your career.
What You'll Do:
1. Cover reception and participate in all reception duties.
2. Appropriately direct all incoming calls from reception.
3. Meet and greet patients, staff, doctors, and visitors.
4. Patient liaison in waiting area – completion of paperwork, signposting, communication of delays, taxi service, etc.
5. Actively queue patients into MOSAIQ upon arrival to support wait time tracking.
6. Print documents required and scan completed forms into patient file.
7. Liaise with taxi companies regarding scheduled transport for patients.
8. Ensure patient questionnaires are completed.
9. Order stock for reception area and keep it well stocked throughout the day.
10. Centre admin – post, SAP purchases, Amazon orders, etc.
11. Review unresolved appointments at the end of each working day.
12. Utilise Datix to log comments/concerns and compliments.
13. Be responsible for the daily maintenance of the centre’s fire box and centre checks.
14. Ensure all patients experience the highest levels of service at all times.
15. Maintain accurate and complete records of patient details in line with the agreed processes within GenesisCare.
16. Work respectfully with all team members, ensuring that clear communication and effective working relations are maintained.
17. Be aware of the close working relationship with any partner hospital and comply with their local rules and policies at all times.
18. Follow departmental protocols, policies, and procedures and operate in full compliance with all relevant guidelines.
19. Undertake company designated mandatory training.
20. Occasionally work out of hours to ensure that breakdowns or crises are resolved with minimum impact to service and treatments.
21. Adhere to company standards in respect of appearance, behaviour, and demeanour at all times.
22. Carry out any other duties appropriate for a post of this nature.
23. Work flexibly to achieve GenesisCare business objectives.
24. Ensure that patient confidentiality is maintained in respect of personal information in accordance with GenesisCare policies and statutory legislation.
25. Maintain security by following procedures and booking patients and visitors in and out of the centre.
What You'll Have:
Experience and skills:
1. Experience of looking after a busy reception area.
2. Excellent communication skills.
3. Experience in a customer-focused environment.
4. Evidence of effective staff liaison and co-operative working.
5. Evidence of an empathetic approach to patients and/or customers.
6. Experience with resolving complaints satisfactorily.
7. Strong relationship building skills.
8. Experience within a diverse range of administrative roles.
Qualifications and Knowledge:
1. Proficient in all MS Office packages including, but not limited to, Word, Excel, and Outlook.
2. Previously worked within the healthcare sector preferred, but not essential.
