Receptionist/Administrator

Full time - 37 hours per week, Hours: 8.15am to 4.30pm
Term Time only plus additional inset days
Our client, a reputable school in Sevenoaks, is seeking a friendly and efficient Receptionist/Administrator to join their dynamic team. As the first point of contact for visitors, you will play a crucial role in providing a welcoming and professional reception service. This is a great opportunity to contribute to the welfare and care of children.
Responsibilities:
1. Greet personal visitors and respond to inquiries in a timely manner
2. Answer telephone calls and relay messages to staff via email or verbally
3. Handle general email enquiries and follow up when required
4. Maintain an organised filing system for student documents
5. Undertake training on school communication and IT systems
6. Update database with pupil attendance updates, working closely with the Attendance Officer
7. Process and distribute incoming post
8. Assist in coordinating internal events, ensuring smooth operations and effective stakeholder communication
9. Undertake ad-hoc projects and duties
Health and Safety / First Aid:
10. Provide basic first aid to students when needed (training will be provided)
11. Comply with relevant health, safety, welfare, and statutory requirements
12. Support the organisation's implementation of current statutory regulations, including child protection and equal opportunities
Requirements:
13. Excellent written and verbal communication skills
14. Proficiency in using Outlook, Excel, and Word, including mail merges
15. Experience with Bromcom is highly desirable, although training can be provided
Person Specification:
16. Proven experience in administration, with accurate letter composition ability
17. Excellent organisational skills, including the ability to multitask, prioritise effectively, and meet deadlines
18. Discretion, sensitivity, and diplomacy
19. Outstanding interpersonal, oral, and written communication skills
20. Proficient in Microsoft Office applications (Outlook, Word, Excel, PowerPoint)
21. Ability to engage with personnel and children within a school environment
22. Knowledge and experience of whole school procedures, organisation, and structure
23. Familiarity with BromCom would be advantageous
Qualifications:
24. A-level equivalent education with a minimum of a C grade in GCSE English and Maths
