The Role:
As a Patient Administration Officer/Medical Secretary with us, you'll play a pivotal role in managing all necessary administrative tasks within the centre while offering comprehensive secretarial assistance to various consultants, especially those new to private practice or joining GenesisCare without medical secretaries.This is your opportunity to make a meaningful impact and develop your career.
What You'll Do:
1. Handle telephone calls and queries
2. Responding to and interacting with a variety of individuals which may include patients, customers, referring physicians, Mayo providers, allied health staff and family members
3. Liaising with patients and carers throughout the referral pathway and for clinic appointments
4. Scheduling appointments for treatments and clinics
5. Dealing with correspondence from Consultant Oncologists, patients and referrers.
6. Type clinic letters as required.
7. Ensure all letters and follow-up documentation sent to the appropriate recipients
8. Response for gathering patient-specific demographic and provider information to accurately assess the nature of the request and determine the suitability of consultant review. This requires understanding of basic medical terminology and clinical pathway requirements.
9. Act as first point of contact for all new referrals and clinic appointments
10. Process all radiotherapy referrals
11. Central point of contact for all radiotherapy referrals (internally and externally)
12. Central point of contact for International Patients team and all international patients contacts. This requires onsite presence.
13. Liaise with insurance companies to ensure all insurance cover is verified.
14. Liaise with consultants, secretaries, radiographers and nursing staff regarding new patient and review clinics, follow-up clinics and during treatment courses
15. Coordination of outside medical records, imaging, lab results, etc. are also managed to ensure providers receive all necessary information to meet the needs of the patient
16. Appropriately direct all incoming calls and participate in all reception duties
17. Often dealing with difficult service users and challenging situations efficiently
18. Receive patient referrals and administer in line with the timings and requirements as set out in Trust and National policies.
19. Co-ordinate and provide administrative support to the relevant teams to ensure that all the relevant paperwork and clinical information is available.
20. Update on all enquiries regarding patients’ care and/or treatment on a pathway from external Trusts and General Practitioners in a timely manner.
21. Plan and organise centre multi-disciplinary team meetings/ huddles.
22. Action day-to-day issues, ensuring resolution and escalating serious issues to management as appropriate.
23. Type clinical letters, which will include medical extensive terminology, as well as discharge summaries or other relevant correspondence and documents are required.
24. Ensure patient documents and medical health records are filed regularly and accurately and are available for all clinical episodes.
25. Receive and collate reports of investigations such as blood tests, x-rays and further medical opinions and ensure that all necessary reports are assembled before the next clinical appointment of patient.
What You'll Have:
26. Possess excellent verbal and written communication skills.
27. Previous experience managing a busy reception area
28. Experience in a customer focused environment
29. Strong relationship building skills
30. Experience within a diverse range of administrative roles
31. Evidence of an empathetic and holistic approach to patient care
32. Experience with resolving complaints satisfactorily
33. Significant experience of working as a secretary and/or in a clerical environment
34. Experience of managing diaries and schedules
35. Experience of referral triaging and booking processes
36. Excellent communication and Organisational skills
37. Professional telephone manner
38. Ability to work to tight and conflicting deadlines
39. Experience of using Mosaic IT package an advantage
40. Be proficient in all MS office packages including, but not limited to, Word, Excel & Outlook
41. Previously worked within the healthcare sector preferred
42. RSA audio typing and typing or equivalent keyboard skills
43. Medical terminology
44. Able to demonstrate experience of working with Microsoft office and databases
