About Our Client
Our client is a respected authority in a Non-governmental organisation.
Job Description
* Provide high level intuitive executive support to the Chief Executive Officer; Actively manage the Executive's diary and email.* Where necessary, action emails and provide support to the CEO to execute workload.* Forward plan the Executive's time to ensure adequate time is allocated for delivery and review of any upcoming key priorities.* Planning and scheduling meetings, calls and teleconferences; ensuring relevant information is accessible electronically; including contact details and directions as well as arranging travel between meetings.* Actively delegate lower level or overflow administrative tasks to the administration team.* Provide high level executive support to actively stay across all Board and Board sub-committee meetings.* Responsible for the preparation of first draft Board packs* Manage the ELT Action register and minute all ELT meetings.* Actively contribute to the success of the wider team, including providing a leave back-up for the other Personal Assistant.* Support the delivery of key projects, where required.* Attend key meetings both virtually and in person to provide high level, discrete executive support.* Process purchase cards and expenses relating to the ELT and Board directors' travel, accommodation, meetings, events and other relevant activities, or delegate to administrative team as required.* Take ownership of any other related activities or projects as may be determined from time to time by the Operations, Governance & Compliance Manager or CEO.* Maintain key relationships with direct reports of the CEO and ELT to ensure critical issues are communicated in a timely manner and brought to the attention of the executive.
The Successful Applicant
* Extensive experience supporting a senior level Executive.* Experience preparing detailed Board or Governance papers.* Experience managing a large workload within competing priorities and short deadlines.* Demonstrable track record of performance to a high standard in similar organisations.* Ability to operate with integrity and maintain total discretion.* Excellent time management, organisational skills and ability to work to tight deadlines and effectively prioritise workload. * Outstanding minute takings skills and the ability to manage a relationship with the Board of Directors.* Excellent interpersonal and verbal and written communication skills.* High level of enthusiasm and drive and ability to work on own initiative.* Forward thinking with consistent approach, maintaining, and following through on tasks.* Excellent IT skills including proficiency in all Microsoft Office packages.
