Job overview
Band 3 Team Secretary - 17.5 hours per week (9 months Fixed term maternity leave cover).
Would you like to join a small friendly team, helping to support people recover from a stroke at home?
The West Early Supported Stroke Discharge (ESSD) Team are looking to recruit someone to work 17.5hrs a week, covering maternity leave, to support the team with administration tasks and data collection and management. We are looking for someone to work 2-3 days through the week, but can be flexible on how the hours are spread and start and finish times, so this could be a great opportunity for someone with caring commitments, returning to work or looking to manage a work-life balance.
The ESSD service plays a vital role in safe, supported early discharge home from the Hyperacute Stroke Unit at the Cumberland Infirmary and the stroke ward at West Cumberland Hospital. We work with people in their own homes and local community to increase their function following a stroke. The service covers the ICC areas of Workington and Copeland and you will be working in the team's office base at Maryport Hospital. If you are flexible, reliable and organised with an interest in helping others then this is the job for you!
Main duties of the job
You will support the multi-disciplinary ESSD Team of Occupational Therapist, physiotherapist, Rehabilitation Assistants and Team Lead with administration tasks including:
1. Processing and documenting referrals into the service. Triaging referrals by need and urgency.
2. Liaising by telephone or email with hospital wards, other NHS teams, GPs, Adult Social Care services, third sector organisations and patients and their carers. Act as first point of contact for anyone telephoning the team office.
3. Planning and booking team assessments and visits in electronic diaries, creating weekly timetables for patients.
4. Writing discharge letters, completing referrals to other services, updating patient documentation, taking minutes in meetings, collating service data, completing local and national data and performance audits.
5. Staff management tasks such as processing annual leave, sickness absence, appraisals.
6. Ordering supplies and equipment for team and patients.
7. Carry out appropriate health and safety tasks relating to team's work and office environment.
You will need an ability to work well with minimal supervision, good verbal and written communication skills and flexibility to respond to a fast-changing caseload.
