Facilities Coordinator
The Facilities Coordinator (FC) will assist the Lead Facilities Manager in the delivery of facilities services to occupiers in one or more managed properties to best practice standards defined by JLL and is expected to understand the business objectives of the investment.
Customer Service
1. Deliver excellent customer service to meet client expectations.
2. Build and develop effective relationships with customers at all levels.
3. Support reception by covering breaks and absence as required by the LFM/Client
Site Operations
4. Ensure issues highlighted through site inspections or customer complaints are resolved in a timely manner.
5. Manage all the requests on the Facilities helpdesk and liaise with JLL M&E team & service providers.
6. Ensure we are delivering client KPIs as identified within the agreed LCA (Local Country Agreement)
7. Keep accurate and update records of health & safety files plan.
8. Process and control purchase orders, invoices, and work orders.
9. Provide cover for the Lead FM during periods of absence.
10. Support the completion of reports and documentation to meet required deadlines.
11. Carry out regular site inspections and log any issue on helpdesk ticketing system.
12. Visit sites and properties in accordance with the site visit programme issued by the Lead FM.
Facilities (property/portfolio) Management - Supporting the RFM to:
13. Ensure we are delivering client KPIs as identified within the agreed PMA (Property Management Agreement)
14. Assist in the delivery of “Instinct” (customer experience) operational initiatives across your portfolio in close liaison with our service partners.
15. Ensure that on-site management of the properties is undertaken in accordance with JLLs polices, processes and procedures.
16. Liaise with occupier representatives referring matters upwards only if they cannot be resolved at local level.
17. Regularly liaise with occupiers and be the principal point of contact for advice and guidance in connection with the day-to-day physical operation of the building(s).
18. Assist in the setting and controlling of service charge budgets, quarterly variance reporting and reconciliation to agreed accounting practices.
19. Assist the building’s “Social Responsible Management” (H&S and environmental/sustainability) activities.
20. Assist in the management of the buildings’ plant and equipment. Will be responsible for building management systems where appropriate.
21. Assist in the implementation of minor housekeeping tasks.
22. Help prepare site regulations and issue permits to work for all contractor activities on site.
23. Establish and maintain proper site records in accordance with best practice rules.
24. Visit sites and properties in accordance with the site visit programme issued by the Lead FM.
Required Qualifications, Skills, and Experience
25. Solid stakeholder management skills and an ability to understand business ideas.
26. Previous experience working for a company within the property industry or from a similar business line, with client facing experience or from a corporate FM background.
27. Supportive in driving operational business change.
28. Strong organisation skills and excellent communication skills, both verbal and written
29. Driven to achieve results.
