Job summary
Providing clerical and administrative support to the Respiratory Physiology team.
To provide an effective and efficient administration support service including booking of appointments, managing waiting lists, liaising with outside organisations, accurate inputting of data, taking phone calls.
To work as part of a team providing a high-quality service to both clinical staff and patients.
To provide the highest standards to ensure patient experience and quality are maintained.
Main duties of the job
1. Maintain hospital systems with all relevant information
2. Ensure that all patient records (paper & electronic) are up to date
3. Ensure all requests are comprehensively completed
4. To capture data within 24 hours and ensure recorded correctly
5. Booking of appointments/clinics/outcomes
6. Liaising with peripheral hospitals
7. Request and returning of medical records
8. To give non-clinical advice, information and guidance to patient, carers and visitors attending the centre
9. To prioritise work to meet deadlines
10. Support reception on a rotational basis
11. Take incoming phone calls from patients and other providers

Responsible for the co-ordination & booking of all referrals received,
Responsible for ensuring accurate input of routine & urgent appointments in line with local & national RTT waiting list guidelines.
To ensure all local & national standards are applied to referrals.
Responsible for the input of departmental computerised patient records and data accuracy.
Ensure relevant patient records & documentation are requested and prepared in time for clinics.
Ensure an efficient, helpful & polite running of reception area in order that the first point of user contact is a positive experience.
Responsible for ensuring response to & process of telephone queries in accordance with directorate & departmental policies / procedures.
To actively prioritise administration workloads to meet deadlines & targets.
To work flexibly & provide cover in the absence of colleagues and to undertake any other duties & responsibilities that may be reasonably required.
