This is an exciting time to join a newly established Neurorehabilitation case management team.
The successful candidate will provide administrative support to the specialist case management function for neurorehabilitation to ensure the smooth running of the department. The post holder will support the clinicians within the team to provide an assessment service to patients requiring slow stream neurorehabilitation, to provide the ongoing case management to this patient cohort, to ensure data inputting and reporting is accurate and to ensure any required invoicing is carried out in line with ICB protocols. The post holder will also provide a personal assistant role to the Head of Service, maintaining confidentiality at all times.
Main duties of the job
The post holder will:
Support the development of an effective and efficient referral management system for the team.
Book meetings and appointments as required for clinical members of the team. These will include, but not be limited to, patient assessments, site visits and Multi-Disciplinary Team (MDT) meetings. Meetings may involve internal and external colleagues along with patients and their families.
Book interpreters to support patient assessments, where required.
Provide administrative support at meetings, including minute taking and maintaining action logs.
Liaise with professionals from both within and outside of the ICB as directed by team members.
Act as a point of contact for the case management team, dealing with routine and specialist enquiries in a pleasant, helpful and professional manner, communicating relevant information to colleagues.
Receive email enquiries into a central location and manage the response to these, sign-posting to relevant individuals or services as required.
Develop and maintain a log to track all enquiries received from patients, family members or other professional agencies.
Develop and maintain a recording mechanism to capture the team's caseload and all relevant details. This will include ensuring that all correspondence, messages and enquiries are logged, acknowledged and prioritised.

Job responsibilities
Support the clinical team in the inputting of data as per required standards in order to maintain high-quality reporting. This may include financial information.
Provide regular reports outlining performance against specified Key Performance Indicators (KPI).
Arrange team meetings and maintain the associated agendas and action logs.
Provide a confidential secretarial service to the Head of Service.
Actively engage with the annual Performance Development Review (PDR) process and managerial and clinical supervision sessions to ensure the opportunity for personal development is maximised.
Undertake any required general office duties, including photocopying, typing, emails and reports, using any required software, eg Microsoft Office packages.
Work as an effective member of the case management team, supporting clinical colleagues with work tasks as appropriate.

Experience
Essential
1. Significant administrative / secretarial experience, including initiating and maintaining office systems.
2. Experience of taking detailed and complex minutes.
3. Experience of setting up and maintaining data capture systems.
Desirable
4. Experience of working within a health or care setting or service.
Knowledge
Essential
5. Understanding of Confidentiality, Data Protection Act and GDPR.
6. Intermediate knowledge of IT systems and software programmes, such as Microsoft Office packages (Outlook, Word Excel, Powerpoint and Access).
