The Position:
The Project Controls Coordinator is responsible for supporting risk management, transactional and control tasks, and project enablement functions. This role focuses on identifying and mitigating potential risks related to cost and schedule throughout the planning and execution phases of projects. Working as an integrated team member, the Project Controls Coordinator collaborates with project team members and department managers to provide foresight on potential project pitfalls, offering insights and 'non-technical' solutions.
The Project Controls Coordinator conducts ongoing reviews of project forecasts, schedules, and contract statuses to ensure consistent execution and bring awareness to issues within the Eclipse project portfolio. Acting in an audit capacity, this role monitors milestone achievement, cost variance, and commercial risks, promptly escalating issues to Project Managers for resolution. The Coordinator partners closely with both management and project teams in 4 different technology centers, in 3 locations (international) to ensure timely, on-budget delivery of the Eclipse Vision and Eclipse Entrepreneurial Culture.
What You’ll Be Doing:
1. Conduct weekly reviews of project cost accruals and projections, aligning with the project schedule and status reports. Communicate identified risks (both threats and opportunities) and issues to Project and Department Managers, while correcting minor inconsistencies.
2. Escalate significant findings that may impact project budget or schedule alignment, ensuring early detection and prompt response to deviations from the project plan.
3. Utilize data tools, such as MS Excel, to track and trend project performance, assessing for potential issues by analyzing data alongside project status.
4. Identify common issues across projects and recommend process enhancements to improve overall project control effectiveness. Support the maintenance of project control procedures, templates, and checklists.
5. Provide guidance and support on Eclipse Project Management & Project Controls procedures and Eclipse Database (ERP) functionality as needed, ensuring team proficiency with established practices.
6. Utilize Oracle Primavera P6 and MS Project to create detailed project schedules aligned with work breakdown structures. Support Project Managers in updating and maintaining schedules on a weekly or bi-weekly basis, under the direction of the Eclipse Master Scheduler.
7. Recognize and proactively address project issues, assisting in problem-solving efforts and evaluating outcomes for increased project performance.
8. Support the development of analytical tools, using MS Excel and Power BI, to enhance project tracking and reporting capabilities.
9. Navigate competing priorities from project teams and department managers, maintaining a solutions-focused approach and aligning with managerial guidance.
10. Support Project Managers by leading project schedule review meetings, ensuring alignment across teams and clarity in project timelines.
11. Suggest enhancements to the Eclipse Database (ERP) to drive company-wide efficiency and streamlined project processes.
12. Facilitate the smooth transition of projects from bid management to planning.
13. Regularly monitor cost and schedule management to maintain project alignment.
What We’re Looking For:
1. Has successfully completed a University Degree or College Diploma in Supply Chain Management, Engineering/ Manufacturing Automation Technology, Business, or equivalent experience.
2. Formal project management training through PMI or equivalent.
3. 5+ years’ experience in project co-ordination/project controls capacity involving projects > $5M contract value & 1 year in duration.
4. 3+ years’ experience working in Oracle Primavera 6 (P6) in developing and managing schedules.
5. 2+ years’ working in MS Project in developing and managing schedules.
6. Working level knowledge in MS Excel (Intermediate) validating results and creating dashboards.
7. 3+ years’ working in the Manufacturing Automation or Power Generation Industry or Supply Chain Management.
