Key Responsibilities: Personal assistant to Research Centre Director, manage the diary, coordinate and maintain day to day administrative and secretarial services, handle travel arrangements as required, including hotels and tickets bookings; Document management: draft documents (letters, meeting minutes, reports, etc), in addition to handling and maintaining confidential information, filing documents and tracking the process. Event management: schedule appointments, prepare and coordinate meetings, organise department activities; Manage the department’s awards: draft/update the annual award policy, collection nominations and organise the selections. Follow up the award publication and process the payments. Assist the Director to maintain external relations; Work closely with Finance and Procurement team in terms of PR/PO raising, invoice receiving and expense claiming; Person Specification: List details of Knowledge, Skills, Experience and Qualifications needed to do the job: University degree in Business Administration/HR/Psychology or other relevant subject with major in Management or specialized qualification preferred Language skills: proficient in both English and Chinese is essential. Good command of MS Office (Word, Excel, PowerPoint, Outlook) and design software (Photoshop, AI, ID) Proactive, demonstrates excellent communication interpersonal skills, confidentiality and professionalism Must be systematic, detail oriented, efficient and able to handle multiple tasks with discretion
