Job Summary:
Are you a meticulous professional, flexible, and a strong team player, looking to join a friendly and dynamic team of four? We are seeking a dedicated Medical Secretary to support Mr. R. Kalyan, Consultant Spine Surgeon, at our expanding practice, Spine Solution Limited. This role is vital for ensuring smooth operations and delivering exceptional patient care.
Key Responsibilities:
* Provide comprehensive secretarial, administrative, and business support
* Adapt to varying workloads and business needs with flexibility
* Ensure smooth operation of daily tasks and meet deadlines effectively
* Forward dictation to the typist after clinics.
* Enter data post-clinic and act on recorded outcomes.
* Formulate and forward clinic letters to relevant parties. Occasional urgent typing is required.
* Create and send invoices to patients, insurance companies, etc.
* Answer phone calls from new and existing patients, hospitals, and other medical professionals.
* Handle new patient inquiries, including taking information, booking hospital appointments, and transferring images.
* Promptly address patient inquiries and requests.
* Manage email inquiries.
* Process payments from patients and issue receipts.
* Accurate data entry into the practice software system.
* Prepare for clinics and surgeries (Getting notes, sorting pending action plan, transferring images as required, etc.).
* Manage diaries manually, electronically, and via phone systems.
* Correctly file clinical notes.
* Update the filing system and maintain records.
* Conduct risk assessments and report any observed risks to the Consultant or Manager immediately.
* Ensure data confidentiality and prevent breaches in all communications.
* Conduct weekly and monthly clinic data analysis.
* Participate in business development activities, including writing letters, managing social media, and collecting patient reviews.
* Provide additional support as needed.

Role Type: Self-employed
Salary: Starting rate from £12 to £15 per hour, depending on experience.
Working Hours:
* Hours: 32 to 42 hours per week
* Primarily Monday to Friday, with occasional weekend support (1 in 4 weekends, for 4 hours).
* Core business hours are from 9 am to 5 pm, with additional support as needed between 8 am and 6 pm.
* Flexibility throughout the week is essential to meet business needs.
