The Specialist Medicine Division is looking for an enthusiastic and dynamic Band 3 Administration Assistant to support the delivery of Sexual Health and HIV services provided by All East Service, The successful applicant will be responsible for providing reception & administration support.
This is an exciting and important role within the service. The successful candidate will provide a high level of customer service and will need to have experience of working at reception, clerical and administrative skills preferably within a healthcare environment. A working knowledge and experience of using an appointment system would be an advantage.
You will be a team-player with excellent written and verbal communication skills. You will have an excellent telephone manner with good interpersonal skills and a flexible approach to duties. You will be friendly and helpful, and able to prioritise and organise your own workload. You need to be comfortable working in an ever changing environment and be able to retain your focus on providing an excellent service to patients, staff and external stakeholders.
Main duties of the job
The post holder will be expected to provide a service to the cross-site HIV Service. An up-to-date knowledge of all clinics will be needed to enable the post holder to make, amend and cancel appointments and handle straightforward queries in all specialties as this will become a multi-skilled role; the post holder will need a working knowledge of all clinic protocols in addition to any specific standards for each clinic/specialty. The role will range from the registration of new patients, handling GP and patient queries for the service and making appointments using systems such as full and partially booked appointments. Main duties will be checking-in patients, scheduling appointments, answering telephone calls from patients or Gps wishing to make or change appointments or making general enquiries as well as covering the reception desk.
