Please note that this is a full-time position (37.5 hours per week) offered on a 6-month fixed-term contract.
The Role:
As a Medical Secretary with us, you'll play a pivotal role in providing a comprehensive secretarial service to one or more consultants, dealing with enquiries, correspondence and prepare letter correspondence following dictations. What You'll Do:
1. When requested, schedule patient appointments.
2. Ensure the timely sending of typed clinic dictations to all relevant parties for the patient’s pathway.
3. Ensure referral letters are received and assessed daily and that the patient referral letters are moved quickly through the registration system and appointments made for outpatient consultations.
4. Coordinate and ensure all diagnostic results are shared promptly with the consultant.
5. Ensure the consultant’s diary is maintained and agree a system for diary management with individual consultants.
6. Facilitate medical staff leave through diary management and communicating with the relevant personnel responsible for processing leave requests.
7. Liaise with other medical professionals as directed by your consultant.
8. Occasionally work outside of core business hours to ensure any sudden peaks in workloads are resolved swiftly.
9. Adhere to company standards in respect of appearance, behaviour, and demeanour at all times.
10. Ensuring that all clinic lists are expedited in a timely manner to external hospitals where necessary.
11. Carry out duties appropriate for a post of this nature.
12. Proactively undertake continual professional development (CPD).
What You'll Have:
13. Significant experience of working as a secretary and/or in a clerical environment
14. Experience of managing diaries and schedules
15. Experience of referral triaging and booking processes
16. Excellent communication and organisational skills
17. Professional telephone manner
18. Ability to work to tight and conflicting deadlines.
19. RSA audio typing and typing or equivalent keyboard skills
20. Medical terminology
21. Able to demonstrate experience of working with Microsoft office and databases.
