Our client is a Digital Software Consultancy and are currently looking for an Apprentice Bid Coordinator to join their dynamic team! They offer innovative digital and cyber security solutions to their clients who are from the public and private sectors. You'll be assisting on interesting large-scale Government and private sector projects.
This Is a great opportunity for a someone looking to utliise their love for organising and talking with people with their passion for copywriting/drafting documents or proofreading other people's work. There Is scope for the right candidate to develop a career as Bid Manager or Bid Writer.
ROLE OBJECTIVE
We are seeking an organised and detail-oriented Apprentice Bid Coordinator to support the end-to-end bid process, from opportunity identification through to tender submission. This role involves assisting in coordinating the timely delivery of high-quality proposal documentation, collaborating closely with the Bid Manager, Bid Writer and internal stakeholders, managing deadlines, and ensuring all bid requirements are met. The ideal candidate will be proactive, have a high attention to detail, love organising people and thrive working in a busy environment with deadlines. Able to stay calm and speak out if they need help.
The successful candidate will obtain formal qualification in bid management, linked to an Internally recognised formal qualification In bid management, The Association of Proposal Management Professionals. They will also be coached in bid and copywriting.
RESPONSIBILITIES
* Bid Management: Assist in the preparation, submission, and tracking of bids, ensuring alignment with client requirements and company standards.
* Writing:- Candidate will be coached how to write case studies, standard selection questionnaires and general responses.
* Documentation Coordination: Organise, review, and manage all bid documentation, including templates, responses, and supporting materials.
* Stakeholder Collaboration: Liaise with internal teams (e.g., sales, technical, finance, legal) to gather relevant information, clarifications, and approvals for each bid.
* Compliance Checks: Ensure all bids are compliant with internal and external guidelines, including formatting, legal requirements, and company branding.
* Database Management: Maintain accurate records in bid management software, including bid progress, key dates, and outcomes.
* Scheduling and Deadlines: Track and manage bid timelines, ensuring all key milestones are met and identifying any potential risks to delivery.
* Bid Review: Support the quality assurance process by proofreading, reviewing, and editing bid documents to ensure accuracy and consistency.
* Post-Bid Activities: Assist with post-submission activities such as debriefs, feedback reviews, and updating bid libraries.
* Continuous Improvement: Contribute to process improvements, identify best practices, and support in updating the bid template library and other bid resources.
EXPERIENCE REQUIRED
* Experience: No Experience required but needs to have GCSE English and Maths.
* Technical Skills: Microsoft Office Suite (Word, Excel, PowerPoint), familiarity with bid management software
* Communication Skills: Strong written and verbal communication skills, with attention to detail in editing and proofreading.
* Written skills: Must have Excellent English
* Organisational Skills: Excellent time management skills and willingness to learn project organisation skills.
* Attention to Detail: Be the type of person that gets annoyed with typos and Is always planning ahead.
* Collaboration: Effectively works across teams, gathers information, and coordinates responses with a variety of stakeholders.
* Initiative: Proactively manages bid timelines, anticipates challenges, and communicates any issues to ensure seamless submissions.
* Adaptability: Thrives in a dynamic environment and adapts to changing priorities and deadlines.
* Process-Oriented: Identifies and suggests improvements to streamline the bid process and increase efficiency.
* Duration of Apprenticeship: 15 months
