Senior PA and Research Group Administrator
We are seeking an experienced and self-motivated Senior PA to support an esteemed Professor in a University Research Department in Oxford. This role will also support academic colleagues in the Research Group with administrative tasks. This is a fixed term contract, to start in Jan 2025 until 30th November 2026.
Senior PA and Research Group Administrator Responsibilities
This PA role will be busy and varied and will include but not be limited to:
1. Academic research
2. Project support
3. Inbox management
4. Diary and travel management, including overseas travel, flights, accommodation and Visa applications
5. Support with events, conferences and meetings
6. Financial administration (expenses, process purchase orders, invoicing and general administrative oversight)
7. Systems admin support and operational support including filing, archiving, expenses
8. Drafting, editing and proofreading communications

Senior PA and Research Group Administrator Experience
Reporting to the Department Office Manager, with a dotted line to the Professor, this position would suit someone who has considerable experience as a PA in a fast paced and dynamic environment. Extensive exposure to complex diary and travel management, as well as strong all round administration skills are essential. This position requires someone who is forward thinking, proactive, has strong communication skills and possesses excellent IT and systems knowledge. A high level of resilience and adaptability would enable you to thrive in this position. Experience working in a university, research or NHS environment would be helpful alongside knowledge of medical and scientific terms. Events exposure would also be helpful. As well as providing PA support to the Professor, you will be the point of contact for the members in the Professor's research team, on matters non-project related. Additionally, you will also support some faculty members with administrative tasks and so you must be collaborative and able to build strong working relationships across a business and manage a busy workload using your initiative with minimal guidance. You must have extensive experience in a similar senior level PA capacity including international experience such as scheduling for overseas participants. You must have a high standard of numeracy and accuracy and be able to learn quickly and assimilate complex information.
