We have a fantastic new job opportunity for a Thursday Evening Administrator / FOH Receptionist with strong administrative, communication and IT skills and a passion for the arts.
Working as the Thursday Evening Administrator / FOH Receptionist you will provide support for the Community Arts team, including administration and supporting the development and day to day organisation of the extensive and varied community arts programme.
As the Thursday Evening Administrator / FOH Receptionist you will have the opportunity to work with a wide range of disciplines as well as creating and developing your own skills and ideas which is a specific feature of this role.
The Thursday Evening Administrator / FOH Receptionist will be responsible for locking up the Art Centre and must be able to show initiative and understanding of arts in a community context.
DUTIES
Your duties will include:
1. Provide a reception service that is welcoming to all everyone
2. Answer telephone and check voicemail on a regular basis and answer messages by end of the day or pass on messages to relevant staff members
3. Using the radio system to liaise with the Stie Team and Leisure Centre staff
4. Responsible for locking up at end of day
5. Main point of contact for all hirers when on shift
6. Have the daily space usage report to hand on every shift to adhere to fire safety regulations
7. Ensure that the reception area, foyer, coffee shop and gift shop areas are kept smart, tidy and welcoming at all times
8. Take payment for gift shop items, coordinate stock and keep shop displays tidy
9. Serve in the coffee shop, coordinate and update stock
10. Assist in coordination of centre run activities; this includes telephone bookings, email marketing and website/social media updates
11. Support in the running and delivery of centre run courses
12. Deal with enquiries from customers efficiently and record customer comments/complaints
13. Take payments for all activities, hirers and produce reports/registers as requested by management
14. Take payment for School Bookings and produce reports/registers as requested by management
15. Gather resources needed for all centre-run activities and ensure all paperwork/photocopying is stocked
16. Be responsible for production and circulation of staff notices
17. Assist in maintaining an efficient filing system for all activities
18. Give recommendations on procedures to improve and/ or enhance systems of work
19. Provide WP/DTP support as required
20. Liaise with the Site Team regarding weekly community schedules
21. Minute taking when required
22. Be responsible for the monitoring of centre run instructors and other adults leading community activities on the site
CANDIDATE REQUIREMENTS
23. Strong administration skills
24. Excellent verbal and written communication skills
25. Good knowledge of Microsoft Office
26. A passion for the arts
27. Good interpersonal skills
28. Organised and able to prioritise own work
29. Knowledge and previous experience of marketing, social media and a keen interest in the arts would be highly desirable
