Position: Secretary/ Personal Assistant
Pay rate: £12.86 per hour
Shifts: Mon- Fri x 37.5 hours
Requirements
1. 5 GCSE's Grades A-C to include English Language and Maths (or equivalent Qualification) plus 2 year's administrative /clerical experience.
2. 2 year's word processing experience, creating spreadsheets, email management, creating databases, PowerPoint presentations.
3. Minute taking/ Note taking
4. Experience in using Microsoft packages to include WORD, EXCEL, and OUTLOOK.
5. Ability to minute/note take at Committee level and senior level meetings etc.
6. Excellent organisational skills with an ability to prioritise own workload.
7. The ability to work in a challenging and changing environment.
8. The ability to effectively use office admin systems such as diary management and filing systems.
Responsibilities
9. To provide daily administrative and secretarial support functions, including drafting and typing letters, audio typing, data inputting and processing, email management, records management etc.
10. To organise and maintain diaries as required and to ensure the Operational Lead is well prepared for meetings with relevant supporting agenda and paperwork.
11. To deal with incoming emails, faxes and post and ensure effective and timely management ensuring that action is taken and issues prioritised.
12. Data input/ retrieval of information.
13. Assisting management teams in all aspects of clerical support for the directorate.
14. Updating patient records and appointment management systems.
15. Dealing with general enquiries/providing advice which requires immediate action within definitive guidelines, protocols and policies.
16. Arrange appointments/meetings as requested
17. General office duties such as photocopying/faxing/ scanning.
18. Preparation of statistical information and reports
19. To monitor and request orders relating to office stationery to ensure adequate supplies are maintained.
