We are seeking a highly motivated Document Controller to manage the incoming and outgoing project documentation, ensuring that all critical information is tracked, stored, and shared accurately and efficiently. This role is essential in maintaining project workflow and supporting seamless communication between stakeholders.
Key Responsibilities:
* Document Management: Maintain and update all project-specific registers, ensuring accuracy and consistency for all project documentation, including drawings, manuals, comments, and class appraisals.
* Incoming & Outgoing Documents: Record all incoming and outgoing project documents via transmittal, ensuring proper tracking and version control.
* Shared Data Environment: Oversee the management of the client's shared data environment, including the upload and download of all relevant project information to ensure secure access and easy retrieval.
* Preparation & Filing: Prepare project drawings and packs in hard copy, and perform various administrative duties, including filing and document organization.
* Collaboration & Communication: Act as the point of contact for internal and external stakeholders, ensuring effective liaison with project teams, managers, and clients.
* Continuous Improvement: Review and assess current document control processes and procedures, implementing improvements to enhance efficiency and compliance.
* Performance Management: Take ownership of your own performance, ensuring a structured and effective approach to task completion and delivering on deadlines.
* Health & Safety: Ensure adherence to health and safety policies, following all safe working practices to protect yourself and your colleagues.
* Professionalism: Maintain a professional and positive approach in all interactions with Company personnel, clients, inspectors, and management, contributing to the Company's excellent reputation.
* Teamwork & Autonomy: Work independently or as part of a team, with consideration of diversity and inclusion, to meet project deadlines and objectives.
* Quality Assurance: Demonstrate a strong understanding of and adherence to the Company's Quality Management System.
Qualifications & Skills:
Essential:
* Education: A-Level or equivalent standard of education.
* Experience: Significant experience in a similar role, ideally within large-scale engineering projects or heavy manufacturing environments, and proficiency in managing shared data environments.
* Communication: Strong communication skills, both written and verbal, to effectively interact with internal teams and clients.
* IT Proficiency: High level of proficiency in MS Office and other relevant IT tools.
* Organizational Skills: Proven ability to work under pressure and to strict deadlines in a busy office environment.
* Drive & Motivation: Self-motivated and results-driven, with a proactive approach to managing tasks and responsibilities.
Desirable:
* Experience working with document control systems in the construction or engineering sector.
* Familiarity with industry-specific software and data management tools.
