We’re seeking a proactive Office Manager to take the lead on running our agencies day to day. You’ll be the glue that holds our daily business operations together, ensuring the smooth running of the offices while fostering a positive, inclusive environment for our team. This is an exciting opportunity to manage everything from team onboarding and cultural initiatives to making sure we have all our health and safety checks in place You will be the person that makes sure we keep operating at a high level. WHAT A DAY COULD LOOK LIKE: A typical day as Office Manager at Rise might start with ensuring the office is ready to go—checking supplies, coordinating with building management on any ongoing maintenance, and making sure everything is set for a productive day. Next, you might onboard a new team member, sending out welcome materials, arranging equipment, and walking them through an introduction to the agency’s culture and systems. Later in the morning, you could be managing diary bookings for key meetings, ensuring sessions like appraisals or team check-ins are scheduled smoothly. The afternoon might involve liaising with the Ops team on an employee query or updating health and safety documentation to keep the agency compliant. Before wrapping up, you’ll review the budget for office expenses, update Spendesk, and make sure all tasks for the day are ticked off. SKILLS, EXPERIENCE & CHARACTER Skills Strong organisational and time-management skills, with an ability to handle competing priorities. Excellent written and verbal communication, adept at working with people at all levels. Proficiency in tools like Google Workspace, and budgeting platforms. Experience Prior experience in office management or an administrative role, ideally in a fast-paced agency environment. Proven ability to juggle multiple responsibilities while maintaining attention to detail. Experience coordinating operational needs and managing budgets. RESPONSIBILITIES: Office Operations & Maintenance Oversee all office facilities, including health and safety compliance, fire management, door access checks, and legionnaires testing. Coordinate with building management for maintenance and logistics. Manage cleaner schedules and ensure office supplies (snacks, equipment, etc.) are stocked. Handle office equipment distribution and deliveries. Team Support & Onboarding Lead new starter onboarding by coordinating welcome communications, equipment setup, and team introduction meetings. Schedule twice-yearly appraisals and host introductory office culture calls. Manage employee offboarding, including deactivating access, collecting equipment, and organising leaver gifts. HR & Hiring Support Assist in candidate communication during the hiring process, including interview scheduling and feedback. Post job advertisements on platforms like LinkedIn and manage applicant tracking. Partner with outsourced HR representatives and Ops on more complex HR cases. People Development Support the growth and development of team members by identifying training opportunities and coordinating relevant programs. Collaborate with managers to help build Personal Development Plans (PDPs) that align with both individual goals and agency objectives. Monitor and evaluate the effectiveness of development initiatives, providing feedback and recommendations for improvement. Cultural Champion Foster a positive, inclusive, and collaborative work environment that reflects the agency’s values. Act as the go-to person for maintaining and enhancing the agency’s culture, ensuring it remains vibrant as the business grows. Continuously assess and improve cultural practices to ensure they align with the agency’s goals and the needs of its people. Operations Develop, implement, and manage operational workflows to ensure smooth and efficient day-to-day office activities. Maintain and optimise office management systems, ensuring tools and workflows align with the agency’s evolving needs. Collaborate with team leads to identify inefficiencies in operational processes and propose practical solutions. Administrative Excellence Manage diaries for meetings and key sessions, including Show and Tell or Q&A events. Track and manage budgets, updating tools like Spendesk regularly. Book meeting rooms and coordinate office deliveries as needed.
