Job Description
This role will be filled by someone who is highly organised, demonstrates sound judgment, and is capable of delivering at pace and adapting to change. You will handle sensitive issues discreetly and effectively and you will be comfortable 'managing up' and providing instructions and direction to the Chief of Staff and Directors when necessary. You will be enthusiastic, confident, work well with others and are eager to join the team!
Main Activities/Responsibilities
You will be responsible for making sure that Directors have the support they need to be effective and highly regarded leaders. You will be constantly prioritising to ensure that their time is spent in line with business need and Directorate priorities. As part of the Director's Office, you will support the visibility of the Directors across staff in all of our national locations, across different teams in the Directorate, across the MoJ and across government.
1. Ensure that the Director's time is managed effectively so that they can focus on priorities. You will manage Director's busy diaries helping them to achieve their objectives. You will need good sense, good judgement, and good humour, and you will be the type of person who can adapt quickly to change.
2. Proactively analyse, prioritise, and triage Director's inboxes to ensure they see and act on the most urgent messages, delegating tasks as appropriate and coordinating and progressing work on their behalf so that deadlines are achieved. You will also commission background briefing where necessary and manage commissions coming across Data and Analysis teams into the DG or Ministerial Private Offices.
3. Act as an initial point of contact, dealing effectively with senior external and internal stakeholders. You will support the development of good relationships with all customers to ensure a high quality of service is provided and establish good working relationships with wider senior management team, understanding their priorities and demands.
4. Process all relevant HR transactions in accordance with documented procedures, making sure that team pay, performance and development, and personal and HR matters are all dealt with promptly and sensitively.
